Roofing invoices, part by part
A roof is done in a day or two, and the homeowner often pays the balance the moment the dumpster leaves. The invoice should make that easy: the same lines as the estimate they signed, with the real quantities filled in.
Start with the invoice number and date, then your business name, contact details and license number. The FTC tells homeowners to look for a contractor's name, address, phone and license number on their paperwork. Add the customer's name, the property address and the estimate number this invoice bills.
List the squares installed and the roofing material by product name and color, then tear-off and disposal. If you replaced decking, write the number of sheets actually replaced at the per-sheet price you agreed on the estimate. That line is the one homeowners check most, so keep it clear and separate.
Then underlayment, flashing, vents, drip edge and gutters, each on its own line. If the homeowner approved anything extra on the day, such as replacing a run of rotten fascia, add it as its own line with a short note.
Below the lines: sales tax where the job is taxable, the total, any deposit received, the balance due, the due date and how to pay.
It is also worth noting the date the roof was finished and the workmanship warranty you offered on the estimate. The invoice is the paper the homeowner keeps, and it's the first thing they'll look for if a shingle blows off two winters later.

Questions
What should a roofing invoice include?
An invoice number and date, your business details and license number, the customer and property address, the estimate it bills, squares installed, roofing material, tear-off and disposal, decking replaced, flashing, vents and gutters, sales tax where it applies, the total, deposit received, balance due, due date and how to pay.
How do I bill decking I replaced?
Write the number of sheets you replaced and the per-sheet price agreed on the estimate, on its own line. The homeowner can check it against what was agreed, so there is nothing to argue about.
Should I list the shingle product on the invoice?
Yes. Writing the brand, product line and color gives the homeowner a record for any manufacturer warranty and for future repairs, and shows they got the option they chose.
How do I show a deposit already paid?
List the full job total, then "Less deposit received" with the date and amount, then the balance due.
Is this roofing invoice template free?
Yes. The PDF, Word and Excel files are free to download and you don't need to give an email address.
