A roofing invoice shows a unique invoice number, the invoice date and the date of the work, your name (and business name, if you use one), address and contact details, the customer's name and address, and the quote it bills. List scaffolding, stripping, battens and membrane, the slates or tiles, leadwork and any agreed extras, then VAT if you're VAT-registered, the total, any deposit paid, the balance due, the payment date and your bank details.

Roofing invoices, part by part

Once the scaffolding's down, the customer expects the invoice. If it follows the quote they accepted line by line, with any extras clearly marked, it gets paid without a phone call. GOV.UK sets out what every invoice must show; this template has a box for each item, laid out for roofing work.

Start with a unique invoice number, the invoice date and the date of the work. Then your details: your name, any business name, address and contact details. If you're a sole trader using a business name, GOV.UK says the invoice must also show your own name and an address where legal documents can be delivered to you. Add your VAT number if you're registered, the customer's name and address, the property address if different and the quote number.

List the work in the same order as the quote: scaffolding, stripping and disposal, battens and membrane, the slates or tiles by product name, ridge and hips and leadwork. If you found rotten rafters or boarding once the roof was stripped, add the quantity actually replaced at the price agreed on the quote, on its own line.

Any other agreed extras, such as repointing a chimney while the scaffold was up, go on their own lines with a short note.

At the bottom: VAT if you charge it, the total, less deposit paid, the balance due, the payment date and your bank details, with the invoice number as the payment reference.

It's worth adding the date the roof was finished and the guarantee you offered on the quote. The invoice is the paper the customer keeps, and the first thing they'll look for if there's a leak next winter.

On a bigger re-roof you can invoice in stages, for example once stripped and felted and again on completion. Name the stage on each invoice and show payments already made.

Set it up once, then reuse it

  • Download the Word or PDF file and save a master with your name, business name, address and VAT number if you have one.
  • Add the invoice number, dates, customer, property address and quote number.
  • List scaffolding, strip, battens and membrane, covering, ridge and leadwork.
  • Add hidden repairs and agreed extras, VAT if registered, the deposit and the balance.
  • Add the payment date and bank details, save as PDF and send it once the scaffold's down.

Questions

What should a roofing invoice include?

A unique invoice number, the invoice date and work date, your details, the customer's name and address, the quote it bills, scaffolding, strip, battens, membrane, slates or tiles, leadwork, any agreed extras, VAT if you're registered, the total, any deposit paid, the balance due, the payment date and your bank details.

What if I trade under a business name?

GOV.UK says that if you're a sole trader using a business name, the invoice must also show your own name and an address where legal documents can be delivered to you. The template has a box for both.

How do I bill rotten timber found during the job?

Give it its own line with the quantity and the price you agreed on the quote, such as rafters or boarding replaced. A written line ties it back to what the customer agreed.

How do I show a deposit already paid?

Show the full price first, then "Less deposit paid" with the date and amount, and the balance due underneath.

Is this roofing invoice template free?

Yes. The PDF and Word files are free to download and you don't need to enter an email address.
