Cleaning invoices, part by part
A cleaning invoice is easiest to pay when it shows exactly what was cleaned, when, and what was added on. Laid out that way, it answers the client's questions before they text you, including the one about the extra they forgot they asked for.
At the top, the invoice number and date, your business name and contact details, and the client's name and the address you cleaned. If you clean for a property manager or landlord, put the billing name and the property address as separate lines.
Then the visit date. If one invoice covers several visits, list each date. Under it, the service in plain words (standard clean, deep clean, move-out clean, post-construction clean, office clean) and the rooms or areas covered, such as "3 bedrooms, 2 bathrooms, kitchen, living areas".
Put add-ons on their own lines: inside the oven, inside the fridge, interior windows, carpet cleaning, laundry. When the extras sit apart from the base clean, the client can see what they chose and the base price stays the same one you quoted.
Finish with sales tax if your state taxes cleaning services, the total, any deposit already paid, the balance due, the due date and how to pay. The IRS lists invoices among the records a business keeps, so a numbered copy of each one makes tax time easier, whether you are a self-employed cleaner or run a small cleaning company.

Common jobs this template fits
House cleaners, maid services and cleaning companies use this invoice for a move-out clean before tenants hand back keys, a one-off deep clean, a post-construction clean after a remodel, an office clean, and carpet cleaning as an add-on. It works for residential and commercial clients alike.
For the rest of the job's paperwork, quote the clean with the cleaning estimate template and confirm payments with the receipt template. The cleaning industry page shows how Quoza handles cleaning estimates.

Questions
What should a cleaning invoice include?
An invoice number and date, your business details, the client's name and address, the date of each visit, the service and areas cleaned, add-ons as their own lines, sales tax if it applies, the total, any deposit paid, the balance due, a due date and how to pay.
How do I number my cleaning invoices?
Use one running sequence for all clients, such as CL-1001, CL-1002, and never reuse a number. If you clean the same home more than once, each invoice still gets its own number. List the visit dates it covers so the client can match it to their calendar.
How do I show a deposit already paid?
Show the full total for the clean first, then a line "Less deposit received" with the date and amount, and the balance due under it. That works well for move-out and post-construction cleans where you take a deposit to hold the date.
What payment terms should I put on a cleaning invoice?
Put a clear due date, such as "Due on receipt" or a specific date, and say how to pay. Use the terms you agreed when you quoted the clean. If you plan to charge for late payment or last-minute cancellations, agree it with the client in advance.
Can I send a cleaning invoice from my phone?
Yes. Download the Word or PDF file on your phone, fill it in after the visit, save it as a PDF and text or email it to the client before you leave the driveway.
Is this cleaning invoice template free?
Yes. The PDF, Word and Excel versions are free to download and you don't need to give an email address. Add your business details once, save your own copy and reuse it for every clean.
