Construction invoices, part by part
On a remodel or addition, the invoice is rarely a single bill. It is a series: a deposit, progress payments as each stage is finished, and a final invoice at walkthrough, often with change orders on top. A clear invoice keeps that series easy to follow, so payments keep coming on time.
Start with the invoice number and date, then your business name, contact details and license number. The FTC tells homeowners to look for a contractor's name, address, phone and license number on their paperwork. Add the customer's name, the job address and the estimate or contract number this invoice bills.
Describe what this invoice covers. On a staged job, name the stage: "Progress invoice 2 of 4: framing and rough-in complete." On a smaller job, list the work by phase, with labor, materials and subcontractors on separate lines, matching the way you priced the estimate.
Give every approved change order its own line with a short description and the date it was approved, such as "Change order 3: upgrade to quartz countertops". Changes folded into the total are the ones that cause disputes.
Below the lines: sales tax where the work is taxable, the total for this invoice, the deposit and payments received to date, the balance due, the due date and how to pay.
Use the same phase names on the estimate and every invoice, so the owner can check one against the other.

- Describe the stage or phases billed, with labor, materials and subs.
- Add each approved change order, then tax, payments received and the balance.
- Set the due date and payment details, save as PDF and send it the day the stage is done.

Questions
What should a construction invoice include?
An invoice number and date, your business details and license number, the customer and job address, the estimate or contract it bills, the work by phase or stage, labor, materials and subs, change orders, sales tax where it applies, the total, payments received, balance due, due date and how to pay.
How do I number my construction invoices?
Use one running sequence and never reuse a number. On a staged job, add the stage to the description, such as "Progress invoice 2 of 4, rough-in complete", and write the contract number on every invoice.
How do I show a deposit already paid?
List the amount for this invoice, then "Less deposit received" or "Less payments received to date" with dates and amounts, then the balance due. The owner sees exactly where the job stands.
What payment terms should I put on an invoice?
Use the schedule you agreed on the estimate or contract, and give each invoice a clear due date and payment details. If you bill in stages, name the stage each invoice covers.
Can I send the invoice from my phone?
Yes. Download the Word or PDF file, fill it in on your phone, save it as a PDF and text or email it to the owner as soon as the stage is done.
Is this template free to download?
Yes. The PDF, Word and Excel files are free and you don't need to give an email address.
