Plumbing invoices, part by part
A plumbing invoice often covers parts the customer never saw going in: a new valve behind a wall, a length of pipe under the house. The clearer the invoice, the less you have to explain on the phone afterward.
Head it with the invoice number and date, then your business name, contact details and license number where your state licenses plumbers. The FTC tells homeowners to look for the contractor's name, address, phone and license number on their paperwork, so put them where they are easy to find. Add the customer's name and the service address, and the estimate or work order number this invoice bills.
Next, split the work into its parts. If you charge a service call or trip charge, give it its own line. Show labor either as a fixed job price or as hours times your rate, the same way you quoted it. Then list parts and materials with quantity and price, named so the customer recognizes them: "Pressure-reducing valve, 3/4-inch" means more than "PRV". If you pulled a permit, list the fee you paid as a separate line.
Below the lines, add sales tax where the job is taxable, the total, any deposit received, the balance due, the due date and how to pay.
If anything changed on site, such as a corroded shutoff you had to replace, add it as its own line with a short note. A change the customer agreed to, written down, is easier to get paid for than one buried in the total.

Questions
What should a plumbing invoice include?
An invoice number and date, your business details and license number, the customer and service address, the estimate it bills, the service call, labor, each part with quantity and price, any permit fee, sales tax where it applies, the total, deposit received, balance due, due date and how to pay.
Should I list parts separately on a plumbing invoice?
Yes, if you quoted them separately. Name the part the way the customer would recognize it, such as "40-gallon gas water heater" or "1/2-inch PEX, 20 ft", with quantity and price. A clear list is easier to check than a single lump sum.
How do I number my plumbing invoices?
Use one running sequence and never reuse a number, for example P-1001, P-1002. If the job started from an estimate or work order, write that number on the invoice too, so the paperwork for one job links together.
How do I show a deposit already paid?
List the full job total, then "Less deposit received" with the date and amount, then the balance due. It suits water heater swaps and repipes, where you may buy equipment before the job.
Can I send a plumbing invoice from my phone?
Yes. Download the Word or PDF file, fill it in on your phone when the job is done, save it as a PDF and text or email it to the customer before you leave.
Is this plumbing invoice template free?
Yes. The PDF, Word and Excel files are free to download and you don't need to give an email address. Add your business details once, save your own copy and reuse it for every job.
