Quick answer

A plumbing receipt confirms a payment you have already taken. It shows a receipt number and date, your business name, contact details and license number, the customer's name and service address, the amount received, how they paid, what it was for, such as a deposit on a water heater swap or an invoice number, and the balance still owed. Sign it or add "Received by", then hand it over or send it as a PDF.

Plumbing receipts, part by part

A plumbing job can be paid in one go at the sink or in pieces over a week: a deposit for the water heater, a final payment when it's hooked up and the old tank is gone. A receipt for every payment answers the call you'd otherwise get a month later asking whether the check cleared. It is also part of your records: the IRS lists receipts and invoices among the supporting documents a business keeps.

Open with a receipt number and the date, on a sequence of their own so they never clash with invoice numbers. Add your business name, contact details and license number where your state licenses plumbers, then the customer's name and service address.

Then the three lines that matter: amount received, payment method and what it was for. A deposit names the estimate it secures; a final payment names the invoice it settles. Adding the job in a few words, such as "Drain clearing, main line", saves anyone reading it later from digging out the invoice.

Show the balance remaining. A deposit receipt should say what is still to pay; a final one can say "Paid in full". Close with "Received by" and your name, and sign printed copies.

Keep a copy of every receipt with the invoice it settles. When a customer calls about a warranty on the heater, the date and amount are right there.

  • Sign or add "Received by", save as PDF and send it before you drive off.

Plumbing jobs this template fits

Plumbers use this receipt for deposits on a water heater swap or repipe, for payment on drain clearing and leak repair calls, and for fixture installs such as faucets, toilets and disposals paid by card or check on the day. It suits one-visit service calls and longer jobs paid in stages.

Use it alongside the plumbing estimate template, which sets the price and the deposit, and the plumbing invoice template, which bills the balance. Matching numbers across the three make any job easy to follow.

Questions

What should a plumbing receipt include?

A receipt number and date, your business details and license number, the customer and service address, the amount received, the payment method, what it was for (deposit, estimate or invoice number), the balance remaining and "Received by" with your name.

Is an invoice the same as a receipt?

No. The invoice tells the customer what they owe for the repair or install. The receipt confirms they have paid it, in full or in part. Put the invoice number on the receipt so the two match.

Do I need to give a receipt for a deposit?

It is good practice, especially when the deposit pays for a water heater or fixtures you buy before the job. Name the estimate, the amount and the balance still to come, so the final invoice lines up.

Can I send a receipt by text or email?

Yes. Fill in the Word or PDF file, save it as a PDF and text or email it before you leave the job. A PDF is harder to lose than a paper slip.

What does a plumbing receipt sample look like?

A short page: receipt 0318, the date, your business and license number, the customer and address, the amount received by check as the deposit on estimate 1042 for a water heater replacement, balance due on completion, and "Received by" with your name.
