Quick answer

A plumbing estimate shows your business details and plumbing license number, the customer and service address, an estimate number and a valid-until date. It describes the job and what is not included, lists labor and each part or fixture with quantity and price, and notes any permit. Add options such as repair versus replace, sales tax where it applies, the total, any deposit, your terms and a signature block.

What to include

  • Business name, contact details and plumbing license number
  • Customer name, service address, date and estimate number
  • Scope in plain words, and what's not included
  • Labor: job price, or estimated hours and rate
  • Parts and fixtures with quantity and price
  • Permit, if the job needs one
  • Options, such as repair or replace, with one recommended
  • Sales tax line, where it applies
  • Deposit, valid-until date and terms for hidden problems
  • Signature and date to accept

Plumbing estimates, part by part

A plumbing estimate may be written in a hurry: under a sink, beside a leaking water heater, with the customer standing over you. The template makes sure nothing important gets skipped, and it gives the customer something clear enough to say yes to on the spot.

At the top, your business name, contact details and plumbing license number. The FTC tells homeowners to check for a contractor's license number and says a written estimate should describe the work, the materials, the completion date and the price. Then the customer's name, service address, date and estimate number.

Describe the scope in plain words: "Replace 40-gallon gas water heater, new flex connectors and expansion tank, haul away old tank." Then list what is not included, such as drywall repair after opening a wall.

Price labor as a job price or as estimated hours and rate, and list parts and fixtures with quantity and price. If the job needs a permit, put it on its own line.

Many plumbing jobs come down to a choice between fixing and replacing. Show those as options, for example "Repair valve" and "Replace valve and supply lines", or a standard and a high-efficiency water heater, each priced in full, with your recommendation marked.

Below the lines: sales tax where it applies, the total, any deposit, a valid-until date, and terms for what happens if you find a hidden problem once a wall or floor is open. End with a signature block.

Set it up once, then reuse it

  • Download the PDF, Word or Excel version and save a master with your business details and license number.
  • On the call, fill in the customer, service address, date, estimate number and valid-until date.
  • Write the scope and exclusions, then labor and each part.
  • Add a permit line if needed, and build repair and replace options where they apply.
  • Add tax, deposit and terms, then send it and ask the customer to sign.

Common jobs this template fits

Plumbers use this estimate for water heater swaps, repipes, drain clearing, leak repairs and fixture installs such as faucets, toilets and disposals. It works for a single service call and for a bigger remodel rough-in priced line by line.

When the job is done, bill it with the plumbing invoice template. The plumbing industry page shows how Quoza handles plumbing estimates.

Questions

What should a plumbing estimate include?

Your business details and license number, the customer and service address, an estimate number and date, the scope and exclusions, labor, parts and fixtures with quantities, any permit, options if relevant, sales tax where it applies, the total, deposit, valid-until date, terms and a signature block.

Is a plumbing estimate the same as a quote or a bid?

People use them loosely. An estimate is usually your expected price, a quote a firmer price for a defined job, and a bid a price submitted against other plumbers, often for new construction. Whatever the label, write exactly what the price includes.

How long should a plumbing estimate be valid?

Long enough for the customer to decide, short enough that fixture and equipment prices still hold. Put a clear valid-until date on every estimate. The Quoza estimate maker puts a valid-until date on every estimate for you.

Should I ask for a deposit on a plumbing estimate?

That is your call. It can make sense when you buy a water heater, fixtures or a lot of pipe before the job. If you take one, put the amount and how to pay it on the estimate so it is agreed at signing. Some states limit how much a contractor can ask for as a down payment, so check your state's rules before you set one.

Can my customer sign the plumbing estimate online?

With the downloaded file, they sign on paper or send a signed scan. If you make the estimate in the Quoza plumbing estimate maker, the customer gets a link, reads it on their phone and signs online.

Can I download the template in Word or Excel?

Yes. The plumbing estimate template comes as a PDF, a Word file and an Excel sheet. All three are free with no email required.
