Quick answer
A flooring estimate shows your business name, contact details and license number, the customer and job address, an estimate number, the date and a valid-until date. It lists each room with its square footage, removal of the old floor, subfloor prep, the flooring material, underlayment, trim and transitions, with materials and labor priced separately. Add material options, sales tax where it applies, the total, any deposit, exclusions and a signature block.

Flooring estimates, part by part
Flooring customers have usually picked a look before they call you. What they don't know is what goes underneath: tear-out, leveling, underlayment, trim. A clear estimate shows all of it, so your price makes sense next to a cheaper bid that left the prep out.
Start with your business name, contact details and license number. The FTC tells homeowners to look for a contractor's license number and says a written estimate should describe the work, the materials, the completion date and the price. Then the customer's name, job address, date and estimate number.
List each room with its square footage: "Living room 320 sq ft, hallway 90 sq ft, kitchen 180 sq ft." Say how you handle waste, either as a separate allowance or included in the material line, so the material quantity doesn't look padded.
Then price the work in order: removal and disposal of the old floor, subfloor prep such as leveling compound or replacing damaged sections, the flooring material and underlayment by the square foot, installation labor, then trim, transitions, baseboards and stair nosing. For anything you can't see until the old floor is up, give a unit price marked "if needed".
Flooring is made for options: LVP against engineered hardwood, or standard against premium carpet, each priced in full, with your recommendation marked.
Below the lines: sales tax where it applies, the total, any deposit, a valid-until date and what is not included, such as moving furniture or appliances. End with a signature block.

Questions
What should a flooring estimate include?
Your business details and license number, the customer and job address, an estimate number and date, each room with square footage, removal of the old floor, subfloor prep, flooring and underlayment, trim and transitions, options, sales tax where it applies, the total, deposit, valid-until date, exclusions and a signature block.
Should I include a waste allowance?
Yes. Write the measured square footage and the extra you order for cuts and waste as separate figures, or say the material line includes it. The customer then understands why the material quantity is more than the room size.
How do I price subfloor problems I can't see yet?
Put a unit price for subfloor repair or leveling on the estimate, with "if needed" in the line name. The customer agrees the price up front, and you only charge for what you actually do once the old floor is up.
Should I ask for a deposit on a flooring estimate?
That is your call. It can make sense when you order flooring in advance to let it acclimate. If you take one, put the amount on the estimate. Some states limit how much a contractor can ask for as a down payment, so check your state's rules before you set one.
Can my customer sign the flooring estimate online?
With the downloaded file, they sign on paper or send back a signed scan. If you make the estimate in the Quoza flooring estimate maker, the customer gets a link, reads it on their phone and signs online.
Can I download the template in Word or Excel?
Yes. The flooring estimate template comes as a PDF, a Word file and an Excel sheet, all free and with no email required.
