Quick answer

A flooring quote gives a fixed price for a defined job. It shows your business details and VAT number if you're registered, the customer and job address, a quote number and date, each room with its area in square metres, uplift of the old floor, subfloor prep and levelling, the flooring and underlay, fitting, thresholds and trims, any options, whether prices include VAT, how long the price is valid, and a space to accept.

What to include

  • Business name, address and contact details; VAT number if VAT-registered
  • Customer's name, job address, date and quote number
  • Each room with area in square metres, plus waste
  • Uplift and disposal of the old floor
  • Subfloor prep and levelling, with a rate if extra is needed
  • Flooring and underlay, by product
  • Fitting, thresholds, trims and skirting
  • Options, such as LVT or engineered oak, one recommended
  • VAT: prices shown inc. or exc. VAT; quote valid until
  • Acceptance: customer's signature and date

Flooring quotes, part by part

Most flooring customers have chosen a look before they ring you. What they haven't thought about is what's underneath: uplift, levelling, underlay, door bars. A clear quote shows all of it, so your price makes sense next to a cheaper one that left the prep out. Citizens Advice tells customers a written quote should give a fixed total, break down the work and materials, say how long the price is valid and whether VAT is included, and explain when the price could go up.

Start with your business name, address and contact details, and your VAT number if you're registered. Then the customer's name, the job address, the date and a quote number.

List each room with its area in square metres: "Kitchen-diner 28 sq m, hall 6 sq m, downstairs WC 2 sq m." Say how you handle waste, so the flooring quantity doesn't look padded.

Then price the work in order: uplift and disposal of the old floor, subfloor prep such as latex levelling or ply overlay, the flooring and underlay by product, fitting, then thresholds, trims and skirting. For anything you can't judge until the old floor's up, give a rate per square metre and say so on the quote.

Flooring suits options: LVT against engineered oak, or a mid-range against a premium carpet, each priced in full, with your recommendation marked.

Then VAT (inc. or exc.), the total, any deposit, a valid-until date, and what's not included, such as moving furniture or taking doors off and trimming them. Finish with an acceptance box.

If the flooring needs time to acclimatise, say so on the quote too.

Set it up once, then reuse it

  • Download the Word or PDF file and save a master with your business details and VAT number if you have one.
  • After measuring, fill in the customer, job address, date, quote number and valid-until date.
  • List each room with its area, then uplift, prep, flooring, underlay, fitting and trims.
  • Add a rate for extra levelling and build flooring options.
  • Add VAT, deposit and terms, then send it and ask the customer to accept.

Questions

What should a flooring quote include?

Your business details and VAT number if registered, the customer and job address, a quote number and date, each room with its area, uplift of the old floor, subfloor prep and levelling, flooring and underlay, fitting, thresholds and trims, options, VAT, the total, any deposit, how long it's valid and an acceptance box.

What is the difference between a quote and an estimate?

Citizens Advice describes a quote as a fixed price and an estimate as a rough guess that could end up higher. Quote firmly for what you've measured, and give a rate for levelling or repairs you can't judge until the old floor is up.

Should a flooring quote include VAT?

If you're VAT-registered, show VAT and say clearly whether prices include or exclude it. Citizens Advice tells customers to check this. If you're not registered, leave the VAT lines blank and say so.

Should I show waste on the quote?

Yes. Write the measured area and the extra you order for cuts and waste, or say the flooring line includes it. The customer then understands why the quantity is more than the room size.

Can I download the template in Word?

Yes. The flooring quote template comes as an editable Word file and a PDF, on A4 with prices in pounds. Both are free, with no email required.
