Flooring invoices, part by part
When the last transition strip is down, the customer is walking on the result and ready to pay. An invoice that follows the estimate room by room, with the real quantities filled in, makes that easy.
Start with the invoice number and date, then your business name, contact details and license number. The FTC tells homeowners to look for a contractor's name, address, phone and license number on their paperwork. Add the customer's name, the job address and the estimate number this invoice bills.
List each room with the square feet installed, matching the room names on the estimate. Then removal and disposal of the old floor, and any subfloor work actually done, such as leveling or replacing a damaged section, at the unit price you agreed on the estimate. That line is the one customers check most, so keep it clear and separate.
Next, the flooring material by product name and color, underlayment, installation labor, then trim, transitions, baseboards and stair nosing. If the customer added a room or a closet once you were there, give it its own line marked as an approved extra.
Below the lines: sales tax where the job is taxable, the total, any deposit received, the balance due, the due date and how to pay.
It is worth noting the number of spare boxes left with the customer, if any. They'll want them for repairs, and it shows where the waste allowance went.
Send it the same day you finish.

Questions
What should a flooring invoice include?
An invoice number and date, your business details and license number, the customer and job address, the estimate it bills, each room with square feet installed, removal, subfloor work done, flooring material and labor, trim and transitions, approved extras, sales tax where it applies, the total, deposit received, balance due, due date and how to pay.
How do I bill subfloor repairs found during the job?
Write the quantity you actually repaired or leveled at the unit price agreed on the estimate, on its own line. The customer can check it against what they agreed before the old floor came up.
Should I list the flooring product on the invoice?
Yes. Writing the brand, product line and color gives the customer a record for any manufacturer warranty and for buying matching boxes later.
How do I show a deposit already paid?
List the full job total, then "Less deposit received" with the date and amount, then the balance due.
Is this flooring invoice template free?
Yes. The printable PDF, Word and Excel files are free to download and you don't need to give an email address.
