Quick answer

A cleaning service receipt confirms that a customer has paid you. It shows a receipt number and date, your business name and contact details, the customer's name and the property address, the amount received, how they paid, which clean it covers, such as a move-out clean on a given date or an invoice number, and any balance left. Add "Received by" with your name and send it as a PDF or hand it over.

Cleaning receipts, part by part

Cleaning customers pay in all sorts of ways: cash left on the counter, a card payment after a deep clean, a check from a property manager covering a move-out clean. A receipt for each payment tells everyone where things stand. For you, it is part of your books: the IRS lists receipts and invoices among the supporting documents a business keeps.

Start with a receipt number and the date, on their own sequence. Add your business name and contact details, then the customer's name and the property address. For rentals, the address is often what the landlord or tenant needs to see first.

Then the essentials: the amount received, the payment method and which clean it covers. "Move-out clean, 14 Oak St, paid by card" is clear to a tenant, a landlord and an agent. If you sent an invoice, add its number.

If something is still owed, show the balance; otherwise write "Paid in full". End with "Received by" and your name or business name.

If you add extras on the day, such as inside the oven or the fridge, make sure they are on the invoice the receipt refers to, or list them on the receipt itself. A receipt that matches what the customer saw on the estimate never needs explaining.

Set it up once, then reuse it

  • Download the printable PDF or the Word file and save a copy with your business name and contact details.
  • When you're paid, add the receipt number, date, customer and property address.
  • Write the amount, how it was paid and the clean it covers.
  • Add the balance or "Paid in full" and "Received by".
  • Save it as a PDF and send it while you're still at the property.

Cleaning jobs this template fits

Cleaners use this receipt for a move-out clean, a deep clean, a post-construction clean, an office clean and add-ons such as carpet cleaning. It works for a single house clean paid in cash and for a large job with a deposit taken at booking.

Pair it with the cleaning estimate template to set the price and the cleaning invoice template to bill the job. When all three carry the same number, the paper trail is easy to follow.

Some customers pay one cleaner for a whole run of visits at once. If so, list each visit and its date on one receipt, so it is clear which cleans the payment settles and which are still open.

Questions

What should a cleaning service receipt include?

A receipt number and date, your business details, the customer's name and property address, the amount received, how they paid, which clean it covers (type and date, or the invoice number), any balance still owed and "Received by" with your name.

Is an invoice the same as a receipt?

No. An invoice asks for payment for a clean. A receipt confirms you were paid. If you invoice first, write the invoice number on the receipt so the customer can match the two.

Do I need to give a receipt for a deposit?

It is good practice for bigger jobs such as a post-construction or move-out clean booked ahead. A receipt naming the estimate, the deposit and the balance due on the day keeps both of you clear.

Can I send a cleaning receipt by text or email?

Yes. Fill in the Word or PDF file, save it as a PDF and send it by text or email once you're paid. Landlords and property managers often need it for their own records.

Can I use one receipt for several cleans?

Yes, if they are paid together. List each clean with its date on its own line, then the total received. Otherwise, write one receipt per payment.
