Construction receipts, part by part
A building job can involve half a dozen payments: a deposit at signing, progress payments at framing, rough-in and drywall, a final payment at walkthrough, and change orders along the way. Each one needs a receipt. The owner gets proof of what has been paid, often for a lender or for their own records, and you get a clean record for your books. The IRS lists receipts and invoices among the supporting documents a business keeps.
Start with a receipt number and the date, on a sequence of their own. Add your business name, contact details and license number, then the customer's name and the job address.
Then the core: the amount received, the payment method and what it covers. Name the stage plainly: "Deposit at signing", "Progress payment 2 of 4, rough-in complete" or "Change order 3, approved on site". Add the contract or estimate number so every receipt for the job ties back to one agreement.
Show the balance still owed on the job, not just on this stage. That single line answers the owner's main question: how much is left? When everything is paid, write "Paid in full". Finish with "Received by" and your name, and sign printed copies.
On a long job, it also helps to keep a simple running list of receipts with the contract. When the final invoice goes out, you can show every payment received to date in one place.
If a lender pays a draw directly to you, write the lender as the payer and keep the owner as the customer, so both can match the receipt to their records.

Questions
What should a construction receipt include?
A receipt number and date, your business details and license number, the customer and job address, the amount received, how it was paid, what it covers (deposit, stage or invoice number), the contract number, the balance still owed and "Received by" with your name.
Is an invoice the same as a receipt?
No. An invoice asks for payment for a stage or for the finished job. A receipt confirms the payment has arrived. Put the invoice number on the receipt so the two match.
Do I need to give a receipt for a deposit?
It is good practice. A receipt naming the contract, the deposit and the balance still to pay gives the owner proof of payment and gives you a record that lines up with every later invoice.
Can I send a receipt by text or email?
Yes. Fill in the Word or PDF file, save it as a PDF and attach it to a text or email. Name the file with the job and receipt number.
