Cleaning invoices, part by part
A cleaning invoice is quick to pay when the client can see exactly what was cleaned, when, and which extras they asked for. GOV.UK sets out what every invoice must show, and this template has a box for each item, laid out for cleaning work.
At the top: a unique invoice number, the invoice date and the date of each clean the invoice covers. Then your details. If you're a self-employed cleaner using a business name, GOV.UK says the invoice must also show your own name and an address where legal documents can be delivered to you. Add your VAT number only if you're VAT-registered. Then the client's name and the address you cleaned. For letting agents or landlords, put the billing name and the property address as separate lines.
Describe the clean in plain words: regular clean, deep clean, end of tenancy clean, after-builders clean, office clean. Add the rooms or areas, such as "2 bed flat, kitchen, bathroom, living room".
Put extras on their own lines: oven clean, inside the fridge, inside windows, carpet cleaning. Kept separate, they show the client what they chose, and your base price stays the one you quoted.
At the bottom: VAT if you charge it, the total, less deposit paid, the balance due, the payment due date and your bank details, with the invoice number as the payment reference.
Set it up once, then reuse it
- Download the Word or PDF file and save a master copy with your details.
- After the clean, add the invoice number, dates, client name and address.
- Write the type of clean and the rooms or areas covered.
- Add each extra as its own line, then VAT (if registered), the deposit and the balance.
- Add the payment date and bank details, save as PDF and send it the same day.

Questions
What should a cleaning invoice include?
A unique invoice number, the invoice date and the date of each clean, your details, the client's name and address, a description of the clean, extras as separate lines, the amounts, VAT if you're registered, the total, any deposit paid, the balance due, a payment date and your bank details.
How do I number my cleaning invoices?
Use one running sequence for all clients, such as 1001, 1002, 1003, and never reuse a number. If you clean the same property more than once, each invoice still gets its own number. List the dates it covers so the client can match it to their diary.
How do I show a deposit already paid?
Show the full price for the clean first, then "Less deposit paid" with the date and amount, and the balance due underneath. That suits end of tenancy and after-builders cleans where you take a deposit to hold the date.
What payment terms should I put on a cleaning invoice?
Give a clear due date as a specific calendar date, and put your bank details next to it. Use the terms you agreed when you quoted. If you want to charge for late cancellations or late payment, agree it with the client first.
Can I send a cleaning invoice from my phone?
Yes. Download the Word or PDF file on your phone, fill it in after the clean, save it as a PDF and email or text it to the client before you head to the next job.
Is this cleaning invoice template free?
Yes. The PDF and Word files are free to download and you don't need to enter an email address. Add your details once, save your own copy and reuse it for every clean.
