Lawn care invoices, part by part
Lawn care billing is a little different from most trades. You might bill a one-off spring cleanup the day it's done, but bill mowing for several visits at once. Either way, the invoice should let the customer see exactly which visits and services they're paying for.
Start with the invoice number and date, then your business name and contact details, plus a license or registration line if your state requires one for applying fertilizer or pesticides. The FTC tells homeowners to look for a contractor's name, address, phone and license number on their paperwork. Add the customer's name and the property address.
Say what period or job the invoice covers: "Visits in May" or "Fall cleanup, October 21". Then list each visit or service on its own line with its date and price: "Mow, trim and blow, May 6", "Mow, trim and blow, May 13", "Aeration, May 20". A line per visit takes more room than a single total, but it answers the customer's first question, "how many times did you come?", before they ask it.
Add materials such as seed, fertilizer or mulch with quantity and price.
Below the lines: sales tax where it applies, the total, any payments received, the balance due, the due date and how to pay.
If a visit was skipped because of rain or drought, leave it off rather than writing it at zero. The invoice should only show work you did.
Send the invoice on the same day each month, so customers know when to expect it.

Questions
What should a lawn care invoice include?
An invoice number and date, your business details, the customer and property address, the period or job it covers, each visit or service with its date and price, materials, sales tax where it applies, the total, payments received, the balance due, the due date and how to pay.
How do I bill several mowing visits on one invoice?
List each visit on its own line with the date, such as "Mow, trim and blow, May 6". The customer can check the dates against their calendar, and the total is simply the sum of the visits.
How do I number my lawn care invoices?
Use one running sequence and never reuse a number. If you bill a customer for a period, write the period on the invoice too, such as "Visits in May".
Can I send a lawn care invoice from my phone?
Yes. Download the Word or PDF file, fill it in on your phone, save it as a PDF and text or email it to the customer.
Is this lawn care invoice template free?
Yes. The printable PDF, Word and Excel files are free to download and you don't need to give an email address.
