Quick answer

A landscaping invoice shows an invoice number and date, your business name and contact, the customer and property address, and the estimate it bills. List the work by area, with measured materials such as square feet of sod or cubic yards of mulch, plants, labor, and debris haul-away. Then add sales tax where it applies, the total, any deposit received, the balance due, the due date and how to pay.

Landscaping invoices, part by part

A landscaping job changes the look of a whole property, but the invoice still has to read line by line. When it mirrors the estimate the customer signed, area by area and in the same units, paying it is a quick check rather than a phone call.

Open with the invoice number and date, your business name and contact details, and the customer's name and property address. Add the estimate number and the dates the work was done, especially on jobs that ran over several days.

List the work by area: front yard, backyard, side beds, patio. Under each area, give the measured materials in the units you quoted: square feet of sod or pavers, linear feet of edging, cubic yards of mulch, gravel or topsoil. Plants go in with a count and size, such as "Boxwood, 3-gallon, x6". Then labor, and any debris haul-away or dump fees as their own line.

If the final quantities differed from the estimate, say so. "Mulch: estimated 8 cu yd, used 9 cu yd" with a short note is clear; a quietly larger total is not.

Finish with sales tax where it applies, the total, any deposit received, the balance due, the due date and how to pay. The IRS lists invoices among the records a business keeps, so keep a numbered copy of each one for your books.

Set it up once, then reuse it

  • Download the PDF, Word or Excel file and save a master with your business details.
  • Add the invoice number, date, customer, property address, estimate number and work dates.
  • List each area with its materials, plants and labor, in the same units as the estimate.
  • Add haul-away, tax, the deposit and the balance, with a note for any changed quantities.
  • Set the due date and payment details, save as PDF and send it when the job is done.

Common jobs this template fits

Landscapers use this invoice for sod installs, spring cleanups, patios and pavers, planting and mulch and edging. It works for a one-day cleanup and for a large install billed in stages.

Questions

What should a landscaping invoice include?

An invoice number and date, your business details, the customer and property address, the estimate it bills, the work dates, the work by area with measured materials, plants, labor, haul-away, sales tax where it applies, the total, deposit received, balance due, due date and how to pay.

How do I bill materials on a landscaping invoice?

Use the same units as your estimate: square feet of sod or pavers, linear feet of edging, cubic yards of mulch or soil, and a count and size for plants. If the final quantity differed from the estimate, show the actual amount and add a short note.

How do I number my landscaping invoices?

Use one running sequence, such as L-1001, L-1002, and never reuse a number. If a big install is billed in stages, give each stage invoice its own number and reference the same estimate on all of them.

How do I show a deposit already paid?

List the full job total first, then "Less deposit received" with the date and amount, and the balance due underneath. A deposit can cover sod, pavers or plants you order before the job.

Can I send a landscaping invoice from my phone?

Yes. Download the Word or PDF file, fill it in on site when the job is done, save it as a PDF and text or email it to the customer.

Is this landscaping invoice template free?

Yes. The PDF, Word and Excel files are free to download and you don't need to give an email address. Add your business details once, save your own copy and reuse it for every job.
