Quick answer

An HVAC receipt confirms money you have already received for heating or cooling work. It shows a receipt number and date, your business name and contact, the customer's name and service address, the amount received, how they paid, what it was for, such as the deposit on an AC replacement or invoice number, and any balance still owed. Finish with "Received by" and your name, then hand it over or send it as a PDF.

What to include

  • Receipt number and date
  • Business name, contact details and license number
  • Customer name and service address
  • Amount received

  • What it was for: deposit, estimate or invoice number
  • Equipment or job the payment covers, in a few words

HVAC receipts, part by part

Heating and cooling jobs often involve more than one payment. A customer pays a deposit so you can order a heat pump, pays again when the system is running, and maybe pays cash for a filter change on a later visit. A receipt for each payment keeps the money straight for both of you. It is also a record for your books: the IRS lists receipts and invoices among the supporting documents a business keeps.

Start with a receipt number and the date. Keep receipts on their own running sequence, separate from estimates and invoices. Add your business name, contact details and license number, then the customer's name and the service address, so the receipt lines up with the job file.

The heart of the receipt is three facts: the amount received, the payment method and what the payment was for. "Deposit on estimate 2207, AC replacement, paid by card" says it all. When the customer settles an invoice, write the invoice number instead. A few words about the equipment or job help when the customer looks back later: "Furnace repair, ignitor and flame sensor."

If money is still owed, show the balance. A deposit receipt that says "Balance due on completion" can't be mistaken for payment in full. Finish with "Received by" and your name, plus a signature on a printed copy.

Set it up once, then reuse it

  • Download the printable PDF or the Word file and save a copy with your business name, contact details and license number.
  • When a payment comes in, add the receipt number, date, customer and service address.
  • Write the amount, how it was paid and the estimate or invoice number it covers.
  • Note the equipment or job in a few words.
  • Add the balance or "Paid in full", sign it and send it the same day.

HVAC jobs this template fits

HVAC techs write receipts for deposits on an AC replacement or heat pump install, for payment on a furnace repair, for a duct cleaning paid on the spot and for a seasonal tune-up paid in cash or by check. The same layout works for a one-visit service call and for a full system paid in stages.

Keep the receipt in step with the rest of the job's paperwork. The HVAC estimate template sets the price and the deposit, the HVAC invoice template asks for the balance, and the receipt confirms each payment. When all three carry the same job number, anyone can follow the money from the first visit to the last.

The HVAC receipt template comes as a printable PDF and an editable Word file. Download either one without giving an email address, keep a few printed copies in the van, or fill one in on your phone and send it as a PDF.

If the payment is a deposit on a new install, send the estimate first. The HVAC estimate maker lets you fill one in online, see what your customer gets and send it for them to sign before you order the equipment.

Questions

What should an HVAC receipt include?

A receipt number and date, your business details, the customer's name and service address, the amount received, how they paid, what it was for (a deposit, an estimate or an invoice number), the balance still owed and "Received by" with your name.

Is an invoice the same as a receipt?

No. An invoice asks for payment for the furnace repair or install you did. A receipt confirms the money has arrived. Write the invoice number on the receipt so the customer can match the two.

Do I need to give a receipt for a deposit on new equipment?

It is good practice. When a customer pays a deposit before you order a condenser or furnace, a receipt naming the estimate and the balance still to pay gives them proof of payment and gives you a record that matches the final invoice.

Can I send an HVAC receipt by text or email?

Yes. Fill in the Word or PDF file, save it as a PDF and attach it to a text or email. Put the receipt number in the file name so it is easy to find at the next tune-up.

Is this HVAC receipt template free?

Yes. The printable PDF and the Word file are free to download and you don't need to give an email address.
