HVAC invoices, part by part
An HVAC invoice can follow a large purchase for the home. It needs to show exactly what was installed or repaired, in a form they can file away and pull out the next time a technician visits.
Start with the invoice number and date, your business name, contact details and license number, and the customer's name and service address. The FTC tells homeowners to look for a contractor's license number on their paperwork, so keep it in the header. Add the estimate number and the date of service.
For installs, list equipment by make, model and quantity: condenser, evaporator coil, furnace or air handler, thermostat. That one block becomes the customer's record of the system, and yours when they call for service later.
Then labor, as a job price or hours and rate. Parts and materials (line set, pad, disconnect, duct transitions) and refrigerant go on their own lines, so the customer can see them separately from the equipment. If you pulled a permit, list the fee you paid.
For repair calls, the same layout works on a smaller scale: a diagnostic or service charge, the part replaced, the labor and any refrigerant added.
Finish with sales tax where it applies, the total, any deposit received, the balance due, the due date and how to pay. A short note listing any manufacturer warranty paperwork you handed over is useful too.

For the next system, start with the HVAC estimate maker: fill it in online, see what your customer gets and send it for them to sign before you order equipment.
Whichever format you use, keep the equipment block at the top of the line items. It is the part of the invoice the customer, or the next technician, will look for first.

Questions
What should an HVAC invoice include?
An invoice number and date, your business details and license number, the customer and service address, the estimate it bills, the service date, equipment with make and model, labor, parts, refrigerant, any permit fee, sales tax where it applies, the total, deposit received, balance due, due date and how to pay.
Should I put model numbers on an HVAC invoice?
Yes. Writing the make and model of each unit you installed, such as the condenser, coil and furnace, gives the customer a record for future service and warranty registration, and gives you a record of exactly what went in.
How do I number my HVAC invoices?
Use one running sequence, such as HV-1001, HV-1002, and never reuse a number. Write the estimate number on the invoice too, so a system replacement's paperwork stays linked.
How do I show a deposit already paid?
List the full total first, then "Less deposit received" with the date and amount, and the balance due underneath. A deposit can make sense on system replacements where you order equipment before install day.
Can I send an HVAC invoice from my phone?
Yes. Download the Word or PDF file, fill it in on your phone when the job is done, save it as a PDF and text or email it to the customer before you leave.
Is this HVAC invoice template free?
Yes. The PDF, Word and Excel files are free to download and you don't need to give an email address. Add your business details once, save your own copy and reuse it for every job.
