Filling it in for an HVAC job

  • Add your business and your customer. Type your business name, then the customer's name, their cell or email, and the service address.
  • List the job line by line at your own prices. Start with the equipment, by make and model: condenser, coil, furnace or air handler, thermostat. Then labor, line set, pad, disconnect and refrigerant. Not sure of one? Leave it empty: it shows Needs price and can't go out at zero.
  • Tap Send to customer and sign up. Nothing to type again. Your customer gets the estimate as a link, signs online and pays any deposit straight to you.

The example HVAC lines on the page are marked Sample price. Keep them or set your own before anything is sent.

What your customer sees

The preview shows what your customer gets. Download PDF gives you a printable copy. On their phone they see your business name, the equipment by name and model, each line with your price, the tax line, the total, and a deposit if you turned one on. Then they sign.

A homeowner deciding on a new system may want to show someone else first. Because the estimate is a link, they can forward it to whoever shares the decision, and sign once they're ready, without waiting for paper.

The deposit switch is off until you turn it on. It can help when you order equipment before install day. You choose how customers pay you after you sign up.

Tips for HVAC pricing

  • Lead with the equipment. It is the part customers compare between contractors, so make the make and model easy to find.
  • Show what is included in the install. Removal of the old unit, line set, pad, permit and start-up each on a line makes your price easier to compare with a bare equipment price.
  • Write the exclusions. Ductwork changes or electrical upgrades are common add-ons; say whether they're in or out.
  • Check the valid-until date. Equipment prices change. The maker puts a valid-until date on the estimate, so an old price can't come back to you.
  • Send it before you leave the driveway. The customer has the numbers while the visit is still fresh.

Questions

Is the HVAC estimate maker free?

Yes. Fill in an HVAC estimate and download it as a PDF without signing up or giving an email. To send it to a customer for signature, you create an account at that step. No card is needed to start.

Should I put the equipment model on the estimate?

Yes. Write the make and model of each unit as its own line, such as the condenser, coil and furnace. The customer can look them up, compare like for like, and you have a record of exactly what you quoted.

Can I offer good, better and best systems?

This maker builds one option per estimate. To show two or three systems side by side, download the HVAC estimate template, which has room for good, better and best options.

Can my customer sign the HVAC estimate online?

Yes. You send it as a link by text or email. Your customer opens the estimate on their phone, checks the equipment, lines and total, and signs it there. They don't need an app or an account.

What if I'm still waiting on an equipment price?

Leave the line empty. It shows Needs price, and the estimate can't be sent with a blank or zero price. Fill it in once your supplier confirms, then send.
