Electrical invoices, part by part

Much of an electrician's work ends up behind walls and inside a panel. The invoice is where the customer sees what they paid for, so it should name the parts, show the labor and match the estimate they signed.

Start with the invoice number and date, then your business name, contact details and electrical license number. The FTC tells homeowners to look for the contractor's license number on their paperwork, so put it in the header where it is easy to see. Add the customer's name and job address, the estimate number and the date of the work.

Show labor the way you quoted it: a fixed price for the job, or hours times your rate. Then list materials with quantity and price, named in plain words: "200A main breaker panel", "20A AFCI breaker x4", "12/2 cable, 100 ft", "LED recessed light x6". If the customer supplied a fixture or charger, list it as customer-supplied with no price, so it is clear you billed only for installing it.

If you pulled a permit, list the fee you paid on its own line. Changes found on site, such as an undersized circuit you had to replace, go on separate lines with a short note about when the customer approved them.

Finish with sales tax where it applies, the total, any deposit received, the balance due, the due date and how to pay. Keep a numbered copy of each invoice for your own records.

Set it up once, then reuse it

  • Download the PDF, Word or Excel file and save a master with your business details and license number.
  • Add the invoice number, date, customer, job address and estimate number.
  • Enter labor, then each material with quantity and price, marking customer-supplied items.
  • Add any permit fee, approved changes, tax, the deposit and the balance.
  • Set the due date and payment details, save as PDF and send it when you finish.

Questions

What should an electrical invoice include?

An invoice number and date, your business details and license number, the customer and job address, the estimate it bills, the work date, labor, materials with quantities, any permit fee, sales tax where it applies, the total, deposit received, balance due, due date and how to pay.

Should I list materials separately on an electrical invoice?

Yes, if you quoted them that way. Name items so the customer recognizes them, such as "200A main breaker panel" or "Level 2 EV charger, customer-supplied", with quantity and price. Mark anything the customer supplied so it is clear you are only billing labor for it.

How do I number my electrical invoices?

Use one running sequence, such as E-1001, E-1002, and never reuse a number. Write the estimate number on the invoice too, so the paperwork for a panel upgrade or rewire links together.

How do I show a deposit already paid?

List the full total, then "Less deposit received" with the date and amount, and the balance due underneath. A deposit can make sense when you order a panel or charger before the job.

Can I send an electrical invoice from my phone?

Yes. Download the Word or PDF file, fill it in on your phone when the job is done, save it as a PDF and text or email it to the customer.

Is this electrical invoice template free?

Yes. The PDF, Word and Excel files are free to download and you don't need to give an email address. Add your business details once, save your own copy and reuse it for every job.
