Tree service invoices, part by part
By the time you send the invoice, the tree is gone and the yard is raked. What the customer remembers is the estimate they signed. An invoice that follows it tree by tree, with any extras clearly marked, gets paid without a phone call.
Start with the invoice number and date, then your business name, contact details, and a license or insurance line if you carry one or your state requires it. The FTC tells homeowners to look for a contractor's name, address, phone and license number on their paperwork. Add the customer's name, the property address and the estimate number this invoice bills.
List each tree and the work done, with the same description as the estimate: "Silver maple, back left corner, full removal." Give stump grinding its own line, so the customer can see it was done. Then cleanup and haul-away, or a note that the wood was cut and left on site at their request.
If the customer asked for more on the day, such as limbing up another tree while the crew was there, add it as approved extra work with a short note. Storm work often grows once you're on site, and a written line keeps it clear.
Below the lines: sales tax where it applies, the total, any deposit received, the balance due, the due date and how to pay.

Questions
What should a tree service invoice include?
An invoice number and date, your business details and license or insurance line, the customer and property address, the estimate it bills, each tree and the work done, stump grinding, cleanup and haul-away, approved extras, sales tax where it applies, the total, deposit received, balance due, due date and how to pay.
How do I bill extra trees the customer added on the day?
Give each one its own line with the species, location and work, and a short note that the customer approved it on site. A change written down is easier to get paid for than one folded into the total.
How do I show a deposit already paid?
List the full job total, then "Less deposit received" with the date and amount, then the balance due.
Can I send a tree service invoice from my phone?
Yes. Download the Word or PDF file, fill it in on your phone once the cleanup is done, save it as a PDF and text or email it before you leave.
Is this tree service invoice template free?
Yes. The PDF, Word and Excel files are free to download and you don't need to give an email address.
