Quick answer

A landscaping receipt confirms a payment you have received. It shows a receipt number and date, your business name and contact details, the customer's name and property address, the amount received, how they paid, what it covers, such as the deposit on a patio or an invoice number, and the balance still owed. Finish with "Received by" and your name, then hand it over or send it as a PDF.

What to include

  • Receipt number and date
  • Business name and contact details
  • Customer name and property address

Landscaping receipts, part by part

Landscaping money comes in at different points: a deposit before the pallets of pavers arrive, a payment when the patio is finished, cash for a one-off spring cleanup. Writing a receipt for each one keeps you and the homeowner on the same page, and it feeds your records. The IRS lists receipts and invoices among the supporting documents a business keeps.

Head the receipt with a receipt number and the date, on a sequence of its own. Add your business name and contact details, the customer's name and the property address.

Then write the amount received, the payment method and what it covers: the estimate number for a deposit, the invoice number for a final payment. Describe the project in a few words, such as "Patio and pavers, 12 x 16 ft" or "Mulch and edging, front beds", so the receipt stands on its own.

Show the balance still owed, or write "Paid in full". End with "Received by" and your name, and sign it if you hand it over on paper.

Bigger installs are often paid in stages: a deposit at signing, a payment when the hardscape is in, the rest after planting. Write a receipt for each stage and note which stage it is, such as "Stage 2 of 3". The customer sees progress, and you see at a glance what is still to come.

Landscaping jobs this template fits

Landscapers write receipts for deposits on sod installs and patio and paver work, for payment on a spring cleanup, for planting jobs and for mulch and edging paid on the day. It works for a single visit and for a bigger install paid in stages.

Use it with the landscaping estimate template to set the price and deposit, and the landscaping invoice template to bill the finished job. One job number across all three keeps the paperwork easy to follow.

Questions

What should a landscaping receipt include?

A receipt number and date, your business details, the customer's name and property address, the amount received, the payment method, what it covers, the project in a few words, any balance still owed and "Received by" with your name.

Is an invoice the same as a receipt?

No. An invoice asks for payment for the work. A receipt confirms you were paid. Write the invoice number on the receipt so the customer can match them up.

Do I need to give a receipt for a deposit?

It is good practice on jobs where you buy sod, pavers or plants up front. A receipt naming the estimate, the deposit and the balance due at completion gives both of you a clean record.

Can I send a landscaping receipt by text or email?

Yes. Fill in the Word or PDF file, save it as a PDF and send it by text or email the same day.

Is this landscaping receipt template free?

Yes. Both the printable PDF and the Word file are free, with no email address needed.
