Quick answer

A landscaping estimate shows your business details, the customer and property address, an estimate number and a valid-until date. It describes the scope by area, lists measured quantities such as square feet of sod or cubic yards of mulch, plants and hardscape materials, labor, and haul-away or disposal. Add options if the customer has choices, sales tax where it applies, the total, any deposit, terms and a signature block.

What to include

  • Business name, contact details and license number, if your state requires one
  • Customer name, property address, date and estimate number
  • Scope by area: front yard, backyard, beds, patio

Landscaping estimates, part by part

Landscaping estimates win or lose on measurements. When a customer can see "sod, 1,200 sq ft" instead of "lawn install", they can compare your price with another landscaper's on equal terms, and you have a written number to point to if the job grows. The FTC tells homeowners a written estimate should describe the work, the materials, the completion date and the price. A landscaping estimate that does all four looks organized before you have turned a shovel.

Start with your business details, plus a license number if your state licenses landscape contractors. Then the customer's name, the property address, the date and an estimate number.

Write the scope by area: front yard, backyard, side beds, patio. For each area, give measured quantities: square feet of sod or pavers, linear feet of edging, cubic yards of mulch or soil. Then plants and materials with quantity and price, and labor. Don't forget site prep (removing old turf, grading) and debris haul-away or disposal, which are easy to leave out and hard to add later.

If the customer has real choices, such as mulch versus stone or a smaller or larger patio, show good, better and best options, each priced in full, and mark the one you recommend. Below the lines, add sales tax where it applies, the total, any deposit, a valid-until date, short terms about how changes are priced, and a signature block.

Set it up once, then reuse it

  • Download the PDF, Word or Excel version and save a master with your business details.
  • Walk the property and note each area with its measurements.
  • Fill in the customer, property address, date, estimate number and valid-until date.
  • Enter materials, plants, labor, prep and haul-away for each area, and add options if they make sense.
  • Add tax, deposit and terms, then send it and ask the customer to sign.

Common jobs this template fits

Landscapers use this estimate for sod installs, spring cleanups, patios and pavers, planting and mulch and edging. It works for a single bed refresh and for a full backyard build-out quoted area by area, for homeowners and for commercial bids.

Questions

What should a landscaping estimate include?

Your business details, the customer and property address, an estimate number and date, the scope by area, measured quantities, plants and materials with prices, labor, prep and haul-away, any options, sales tax where it applies, the total, deposit, valid-until date, terms and a signature block.

Is a landscaping estimate the same as a quote or a bid?

The words get mixed up. An estimate is usually your expected price, a quote a firmer price for a defined scope, and a bid a price submitted against other landscapers, often for commercial work. On any of them, write the measurements and what the price covers.

How long should a landscaping estimate be valid?

Long enough for the customer to decide, short enough that plant and material prices still hold. Seasonal stock can change quickly, so put a clear valid-until date on every estimate. The Quoza estimate maker puts a valid-until date on every estimate for you.

Should I ask for a deposit on a landscaping estimate?

That is your call. It often makes sense on sod, pavers and plant orders you pay for before the job. If you take one, put the amount and how to pay it on the estimate so it is agreed at signing. Some states limit how much a contractor can ask for as a down payment, so check your state's rules before you set one.

Can my customer sign the landscaping estimate online?

With the downloaded file, they sign on paper or send back a signed scan. If you make the estimate in the Quoza landscaping estimate maker, the customer gets a link, reviews it on their phone and signs online.

Can I download the template in Word or Excel?

Yes. The landscaping estimate template comes as a PDF, a Word file and an Excel sheet. All three are free with no email required.
