Quick answer

A handyman invoice shows an invoice number and date, your business name and contact, the customer and job address, and the visit date. List each task on its own line, such as mounting a TV or patching drywall, with labor as a task price or hours and rate, plus materials you bought and any trip charge. Then add sales tax where it applies, the total, deposit received, balance due, due date and how to pay.

What to include

  • Invoice number and issue date
  • Your business name, phone and email
  • Customer name and job address
  • Visit date, and the estimate it bills if there was one
  • Each task on its own line
  • Labor per task, or hours and hourly rate
  • Materials you supplied, with quantity and price
  • Trip charge or minimum, if you have one
  • Sales tax line, where it applies, and the total
  • Deposit received, balance due, due date and how to pay

Handyman invoices, part by part

A handyman visit can cover several jobs: you hang a door, patch a hole in the drywall, mount a TV and fix a fence board, all before lunch. The invoice has to show each of those clearly, or the customer sees one big number and starts asking which part cost what.

Begin with the invoice number and date, your business name and contact details, and the customer's name and job address. Add the visit date, and if you sent an estimate first, its number.

Then list each task on its own line, in plain words: "Hang new interior door, including hardware", "Patch and paint drywall, hallway", "Mount 65-inch TV on customer's bracket". Give each task its labor, as a task price or as hours times your hourly rate, whichever you quoted.

Materials go on separate lines with quantity and price, so the customer can see what you bought for them. If you charge a trip charge or minimum visit, list it too, rather than spreading it across the tasks.

Finish with sales tax where the work is taxable, the total, any deposit received, the balance due, the due date and how to pay. The IRS lists invoices among the records a business keeps, so file a numbered copy of each one; it saves time when you sort out your taxes.

Set it up once, then reuse it

  • Download the PDF, Word or Excel file and save a master with your business details.
  • At the visit, add the invoice number, date, customer and job address.
  • Write each task as you finish it, with its labor price or hours.
  • Add materials, any trip charge, tax, the deposit and the balance.
  • Add the due date and payment details, save as PDF and send it before you leave.

Common jobs this template fits

Handymen use this invoice for door installs, drywall patches, TV mounting, furniture assembly and fence repairs, and for the long "while you're here" list that often comes with them. It suits single-task call-outs and full-day visits with ten small jobs alike.

Before the visit, price the list with the handyman estimate template. After it, confirm payment with the receipt template. The handyman industry page shows how Quoza handles handyman estimates.

For the next customer's list, start with the handyman estimate maker: fill in each task online, see what your customer gets and send it for them to sign before you book the visit.

Whichever format you use, keep the task names the same as on your estimate. When the customer can tick off the estimate against the invoice line by line, there is nothing left to discuss.

Questions

What should a handyman invoice include?

An invoice number and date, your business details, the customer and job address, the visit date, each task on its own line, labor per task or by the hour, materials with quantities, any trip charge, sales tax where it applies, the total, deposit received, balance due, due date and how to pay.

Should I bill by the task or by the hour?

Bill the way you quoted. If you gave a price per task, list each task with its price. If you agreed an hourly rate, show the hours and the rate for each task. If you mix both on one invoice, say which tasks are priced which way.

How do I number my handyman invoices?

Use one running sequence, such as H-1001, H-1002, and never reuse a number. If you visit the same customer again for another list of jobs, that visit gets a new invoice number.

How do I show a deposit already paid?

List the total for all tasks first, then "Less deposit received" with the date and amount, and the balance due beneath it. Deposits are useful when you buy a door, fixtures or other materials before the visit.

Can I send a handyman invoice from my phone?

Yes. Download the Word or PDF file on your phone, fill in the tasks as you finish them, save it as a PDF and text or email it before you pack up.

Is this handyman invoice template free?

Yes. The PDF, Word and Excel files are free to download and you don't need to give an email address. Add your business details once, save your own copy and reuse it for every job.
