Quick answer

A painting invoice shows an invoice number and date, your business name, contact details and license number, the customer and job address, and the estimate it bills. List the rooms or surfaces painted, the prep, the paint and the labor, plus any extra work the customer approved on site. Then add sales tax where it applies, the total, any deposit received, the balance due, the due date and how to pay.

Painting invoices, part by part

The best time to send a painting invoice is right after the final walkthrough, while the customer is still admiring fresh walls. An invoice that matches the estimate they signed, room by room, gets paid without questions.

Head it with the invoice number and date, then your business name, contact details and license number. The FTC tells homeowners to look for a contractor's name, address, phone and license number on their paperwork, so keep them easy to find. Add the customer's name, the job address and the estimate number this invoice bills.

List the rooms or surfaces you painted, in the same order and with the same names as the estimate: "Living room walls and ceiling", "Exterior siding and trim, front and sides". Then the prep, the paint and the labor on separate lines, or by room if that is how you priced it.

If the customer asked for more once you were there, such as another bedroom or the garage door, give it its own line marked as approved extra work. A short note avoids surprise at the bottom line.

It is worth writing the paint brand, color and sheen for each room, either on the line or in a note at the bottom. The customer will want it for touch-ups, and it shows they got the paint grade they picked.

Below the lines: sales tax where the job is taxable, the total, any deposit received, the balance due, the due date and how to pay.

Send it the same day you finish, while the job is fresh.

Set it up once, then reuse it

  • Download the PDF, Word or Excel file and save a master with your business details and license number.
  • For each job, add the invoice number, date, customer, job address and estimate number.
  • List the rooms or surfaces, then prep, paint and labor.
  • Add any approved extras, tax, the deposit and the balance.
  • Note the paint colors, set the due date and payment details, and send it as a PDF.

Questions

What should a painting invoice include?

An invoice number and date, your business details and license number, the customer and job address, the estimate it bills, the rooms or surfaces painted, prep, paint and labor, any approved extras, sales tax where it applies, the total, deposit received, balance due, due date and how to pay.

Should I list the paint on the invoice?

It helps. Writing the brand, color and sheen for each room gives the customer a record for touch-ups later, and shows they got the grade of paint they chose on the estimate.

How do I show a deposit already paid?

List the full job total, then "Less deposit received" with the date and amount, then the balance due.

How do I bill extra work the customer added?

Give it its own line with a short note, such as "Added, paint garage door, approved on site". A change written down is easier to get paid for than one folded into the total.

Can I send a painting invoice from my phone?

Yes. Download the Word or PDF file, fill it in on your phone after the final walkthrough, save it as a PDF and text or email it before you leave.

Is this painting invoice template free?

Yes. The PDF, Word and Excel files are free to download and you don't need to give an email address.
