Quick answer

A plumbing quote gives a fixed price for a defined job. It shows your business details and VAT number if you're registered, the customer and job address, a quote number and date, the scope of works and what's not included, labour and each part priced separately, any options such as repair or replace, whether VAT is included, how long the price is valid, any deposit, when the price could change, and a space to accept.

What to include

  • Business name, address and contact details; VAT number if VAT-registered
  • Customer's name, job address, date and quote number
  • Scope of works: what's included and what isn't
  • Labour and parts priced separately, with quantities
  • Options, such as repair or replace, one recommended
  • VAT: prices shown inc. or exc. VAT
  • Deposit and how to pay it by bank transfer
  • Quote valid until
  • When the price can change, for example hidden problems
  • Acceptance: customer's signature and date

Plumbing quotes, part by part

A plumbing quote is often written kneeling by a leaking tap with the customer looking over your shoulder. The template makes sure nothing gets missed, and that the customer has something clear enough to say yes to there and then. Citizens Advice tells customers a written quote should give a fixed total, break down the work and materials, say how long the price is valid and whether VAT is included, and explain when the price could change.

Start with your business name, address and contact details and your VAT number if you're registered. Then the customer's name, the job address, the date and a quote number.

Write the scope of works in plain English: "Replace existing vented cylinder with new 210-litre unvented cylinder, new pipework to existing boiler, remove old cylinder and tank from loft." Then say what's not included, such as making good plaster or tiling after access.

Price labour and parts separately, with quantities. Many plumbing jobs come down to a choice between repairing and replacing. Set those out as options, for example "Repair leaking valve" and "Replace valve and both tails", each priced in full, with your recommendation marked.

Then VAT (inc. or exc.), the total, any deposit and how to pay it by bank transfer, a valid-until date, and a line on when the price can change, for example if lifting floorboards reveals corroded pipework. Finish with an acceptance box.

Set it up once, then reuse it

  • Download the Word or PDF file and save a master with your business details and VAT number if you have one.
  • On the visit, fill in the customer, job address, date, quote number and valid-until date.
  • Write the scope and exclusions, then labour and each part.
  • Add repair and replace options where the customer has a choice.
  • Add VAT, deposit and terms, then send it and ask the customer to sign.

Common jobs this template fits

Plumbers use this quote for bathroom refits, leak repairs, hot water cylinder replacements, outside taps and radiator valves. It works for a single call-out and for a full bathroom priced line by line.

When the job's done, bill it with the plumbing invoice template. The plumbing industry page shows how Quoza handles plumbing quotes.

Questions

What should a plumbing quote include?

Your business details and VAT number if registered, the customer and job address, a quote number and date, the scope of works and exclusions, labour and parts priced separately, options if relevant, VAT, the total, any deposit, how long it's valid, when the price can change and an acceptance box.

What is the difference between a quote and an estimate in the UK?

Citizens Advice describes a quote as a fixed price and an estimate as a rough guess that could end up higher. If you can see the pipework and price it firmly, call it a quote. If you can't until floors are up, give an estimate and explain what could change it.

Should a plumbing quote include VAT?

If you're VAT-registered, show VAT and say clearly whether prices include or exclude it. Citizens Advice tells customers to check this. If you're not registered, leave the VAT lines blank and add a short note saying so.

How long is a plumbing quote valid for?

As long as you say. Put a clear "valid until" date on every quote so an old price can't come back after cylinder or sanitaryware prices have moved. The Quoza quote maker puts a valid-until date on every quote for you.

Can my customer accept the quote online?

With the downloaded file, they sign a printed copy or send back a signed scan. If you make the quote in the Quoza plumbing quote maker, the customer gets a link, reads it on their phone and accepts it online.

Can I download the template in Word?

Yes. The plumbing quote template comes as an editable Word file and a PDF, on A4 with prices in pounds. Both are free and you don't need to enter an email address.
