Plumbing invoices, part by part
A lot of plumbing ends up under floors and behind panels, so the invoice is where the customer sees what they've paid for. GOV.UK sets out what every invoice must show, and this template covers each item with lines set up for plumbing work.
Head it with a unique invoice number, the invoice date and the date of the work. Then your details. If you're a sole trader using a business name, GOV.UK says the invoice must also show your own name and an address where legal documents can be delivered to you. Add your VAT number if you're VAT-registered, then the customer's name and address and the quote number the invoice relates to.
Split the price into its parts. If you charge a call-out, give it its own line. Show labour the way you quoted it: a fixed price for the job or hours at your rate. List parts with quantities and prices, named so the customer recognises them: "outside tap with double check valve", "22mm copper pipe, 3m", "unvented cylinder, 210 litre".
If something changed once you got going, such as a seized stopcock that had to be replaced, add it as its own line with a short note saying the customer agreed. A variation that's written down is far easier to get paid for than one tucked into the total.
At the bottom: VAT if you charge it, the total, less deposit paid, the balance due, the payment due date and your bank details, with the invoice number as the payment reference.
Set it up once, then reuse it

- Enter the call-out, labour and each part with quantity and price.
- Add any agreed variations, VAT if registered, the deposit and the balance.
- Add the payment date and bank details, save as PDF and send it before you leave.
Common jobs this template fits
Plumbers use this invoice for bathroom refits, leak repairs, hot water cylinder replacements, outside taps and radiator valve changes. It works for a one-hour call-out and for a refit billed in stages.
Price the job first with the plumbing quote template, and confirm payments with the receipt template. The plumbing industry page shows how Quoza handles plumbing quotes.

Questions
What should a plumbing invoice include?
A unique invoice number, the invoice date and work date, your details, the customer's name and address, the quote it bills, any call-out charge, labour, parts with quantities and prices, VAT if you're registered, the total, any deposit paid, the balance due, the payment date and your bank details.
Should I list parts separately on a plumbing invoice?
Yes, if you quoted them separately. Name each part so the customer recognises it, such as "15mm isolating valve x2" or "thermostatic radiator valve", with quantity and price. A clear list is easier to check than one lump sum.
How do I number my plumbing invoices?
Use one running sequence and never reuse a number, for example 1001, 1002, 1003. Write the quote number on the invoice too, so the paperwork for one job links together and payments are easy to match.
How do I show a deposit already paid?
Show the full price for the job, then "Less deposit paid" with the date and amount, and the balance due underneath. That suits bathroom refits and cylinder replacements where you buy materials before you start.
Can I send a plumbing invoice from my phone?
Yes. Download the Word or PDF file, fill it in on your phone when the job's done, save it as a PDF and email or text it to the customer before you leave.
Is this plumbing invoice template free?
Yes. The PDF and Word files are free to download and you don't need to enter an email address. Add your details once, save your own copy and reuse it for every job.
