Quick answer

A plumbing receipt confirms money you've already been paid. It shows a receipt number and date, your business name and contact details, the customer's name and address, the amount received in pounds, how it was paid, what it was for, such as the deposit on a bathroom refit or an invoice number, and any balance still owing. Sign it off with "Received by" and your name, then hand it over or send it as a PDF.

Plumbing receipts, part by part

Plumbing jobs get paid in all sorts of ways: cash for a quick leak repair, a bank transfer for a new cylinder, a deposit and a final payment for a bathroom refit. A receipt for each payment answers the question every customer asks eventually: "Have I paid you for that?" It also keeps your own records straight. GOV.UK says sole traders need records of all sales and income and must be able to show them to HMRC if asked.

Start with a receipt number and the date, on their own sequence. Add your business name and contact details, then the customer's name and address.

Then the three lines that matter: the amount received in pounds, how it was paid and what it was for. A deposit names the quote it secures; a final payment names the invoice it settles. A few words about the job, such as "Outside tap fitted" or "Radiator valves replaced", help when either of you looks back later.

Show any balance still owing. A deposit receipt that says "Balance due on completion" can't be mistaken for payment in full. Finish with "Received by" and your name or business name.

Keep your copy with the invoice it settles. When a customer rings a year later about the cylinder you fitted, the date and the amount are right there, alongside the make and model on the invoice.

If a customer pays a merchant directly for a cylinder or suite, leave it off your receipt: a receipt only covers money paid to you.

Set it up once, then reuse it

  • Download the Word or PDF file and save a copy with your business name and contact details.
  • When you're paid, add the receipt number, date, customer and address.
  • Enter the amount, how it was paid and the quote or invoice number.
  • Add the balance or "Paid in full".
  • Add "Received by", save it as a PDF and send it before you leave.

Plumbing jobs this template fits

Plumbers use this receipt for deposits on a bathroom refit or hot water cylinder, and for payments on leak repairs, outside taps and radiator valve jobs. It works for a short call-out paid in cash and for a bigger job paid in stages.

Set the price with the plumbing quote template and bill the work with the plumbing invoice template. The receipt confirms each payment as it comes in.

Questions

What should a plumbing receipt include?

A receipt number and date, your business details, the customer's name and address, the amount received, how it was paid, what it was for (deposit, quote or invoice number), any balance still owing and "Received by" with your name.

Is an invoice the same as a receipt?

No. An invoice asks to be paid; a receipt confirms you've been paid. Write the invoice number on the receipt so the customer can tick one off against the other.

Do I need to give a receipt for a deposit?

It's good practice, especially on a bathroom refit or cylinder swap where the deposit pays for sanitaryware or the cylinder. Name the quote and the balance still to come, so the final invoice lines up.

Can I send a receipt by email or text?

Yes. Fill in the Word or PDF file, save it as a PDF and send it once the payment's in. A PDF is easier to keep than a paper slip.

Do I need to keep copies of my receipts?

GOV.UK says sole traders need records of all sales and income and must be able to show them to HMRC if asked. Keep a copy of each receipt with the invoice it settles.
