Quick answer

A cleaning quote gives a fixed price for a defined clean. It shows your business details and VAT number if registered, the client and property address, a quote number and date, the type of clean, the rooms or areas covered, what's included and what isn't, extras such as an oven clean priced separately, any options, whether VAT is included, how long the price is valid, any deposit and cancellation terms, and a space to accept.

What to include

  • Business name, address and contact details; VAT number if VAT-registered
  • Client's name, property address, date and quote number
  • Type of clean: regular, deep, end of tenancy, after-builders, office
  • Rooms or areas covered, and the property size
  • What's included and what isn't
  • Extras priced separately: oven, fridge, inside windows, carpets
  • Options, such as a standard or deep clean, one recommended
  • VAT: prices shown inc. or exc. VAT
  • Deposit, quote valid until, and cancellation terms
  • Acceptance: client's signature and date

Cleaning quotes, part by part

"A clean" means something different to every client. A cleaning quote pins it down: which rooms, how thorough, and what's extra. That keeps your price clear when the client mentions the conservatory you didn't see, and it gives them what Citizens Advice tells customers to look for in a written quote: a fixed total, a breakdown, how long the price is valid, whether VAT is included and when the price could change.

Start with your business name, address and contact details, plus your VAT number if you're registered. Then the client's name, the property address, the date and a quote number.

Name the type of clean: regular, deep, end of tenancy, after-builders or office. Then the rooms or areas and the property size, such as "3 bed semi, 2 bathrooms, kitchen-diner" or "office floor, 15 desks, kitchen and 2 toilets". Write what's included and, just as important, what isn't: inside cupboards, walls, outside windows.

Price extras separately: oven clean, inside the fridge, inside windows, carpet cleaning. The client can pick what they want, and your base price stays easy to compare.

For bigger jobs, set out options, for example a standard clean, a deep clean, and a deep clean with oven and carpets, each priced in full, with the one you'd recommend marked. Then VAT (inc. or exc.), the total, any deposit, a valid-until date, your cancellation and access terms (keys, parking, who lets you in), and an acceptance box.

Set it up once, then reuse it

  • Download the Word or PDF file and save a master with your business details.
  • Visit the property, or ask for photos, and note each room or area.
  • Fill in the client, address, date, quote number and valid-until date.
  • Enter the base clean and each extra, and build options if the client is undecided.
  • Add VAT, deposit and terms, then send it and ask the client to sign.

Common jobs this template fits

Cleaners and cleaning companies use this quote for end of tenancy cleans, deep cleans, after-builders cleans, office cleans and oven cleans as an add-on. It suits domestic clients, landlords and letting agents, and small commercial contracts priced area by area.

When the clean's done, bill it with the cleaning invoice template. The cleaning industry page shows how Quoza handles cleaning quotes.

Questions

What should a cleaning quote include?

Your business details and VAT number if registered, the client and property address, a quote number and date, the type of clean, rooms or areas, what's included and what isn't, extras priced separately, options if relevant, VAT, the total, any deposit, how long it's valid, cancellation terms and an acceptance box.

What is the difference between a quote and an estimate in the UK?

Citizens Advice describes a quote as a fixed price and an estimate as a rough guess that could end up higher. Once you've seen the property or photos and agreed the rooms and extras, you can usually give a quote. If you can't, say what could change the price.

Should a cleaning quote include VAT?

If you're VAT-registered, show VAT and say clearly whether prices include or exclude it. Citizens Advice tells customers to check this. If you're not registered, leave the VAT lines blank and add a short note saying so.

How long is a cleaning quote valid for?

As long as you say. Put a clear "valid until" date on every quote; for end of tenancy cleans, add the date of the clean too. The Quoza quote maker puts a valid-until date on every quote for you.

Can my client accept the quote online?

With the downloaded file, they sign a printed copy or send back a signed scan. If you make the quote in the Quoza cleaning quote maker, the client gets a link, reads it on their phone and accepts it online.

Can I download the template in Word?

Yes. The cleaning quote template comes as an editable Word file and a PDF, on A4 with prices in pounds. Both are free and you don't need to enter an email address.
