Quick answer

A builder's quote gives a fixed price for a defined job. It shows your business details and VAT number if you're registered, the customer and site address, a quote number and date, the scope of works and what's not included, the work priced by stage with labour and materials separate, any options, whether prices include VAT, how long the price is valid, the deposit and stage payments, when the price could change, and a space to accept.

What to include

  • Business name, address and contact details; VAT number if VAT-registered
  • Customer's name, site address, date and quote number
  • Scope of works: what's included and what isn't
  • Work priced by stage, labour and materials separate
  • Options, such as standard or upgraded finishes, one recommended
  • VAT: prices shown inc. or exc. VAT
  • Deposit and stage payments
  • Quote valid until
  • When the price can change
  • Acceptance: customer's signature and date

Builders' quotes, part by part

An extension or loft conversion is a huge spend for a household, and they'll usually compare your quote with two or three others. The one that's clearest about what's included tends to win, and it gives you something solid to point to when the job starts to grow. Citizens Advice tells customers a written quote should give a fixed total, break down the work and materials, say how long the price is valid and whether VAT is included, and explain when the price could go up.

Start with your business name, address and contact details, and your VAT number if you're registered. Then the customer's name, the site address, the date and a quote number.

Write the scope of works in plain English: "Single-storey rear extension, 4 x 3.5 m, strip foundations, cavity wall to match existing, flat roof with rooflight, first-fix and second-fix electrics, plastered and ready for decoration." Then say what's not included, such as building control fees, decorating or the kitchen units.

Price the job by stage: groundworks, foundations, walls, roof, first fix, plastering, second fix. Within each, keep labour and materials separate, with quantities. Where the customer has a choice, set out options, for example standard or upgraded windows, each priced in full, with your recommendation marked.

Then VAT (inc. or exc.), the total, the deposit and stage payments, a valid-until date, and a line on when the price can change, such as poor ground found when digging foundations. Finish with an acceptance box.

Set it up once, then reuse it

  • Download the Word or PDF file and save a master with your business details and VAT number if you have one.
  • On the site visit, fill in the customer, site address, date, quote number and valid-until date.
  • Write the scope and exclusions, then price each stage with labour and materials.
  • Add options where the customer has a choice, and the stage payments.
  • Add VAT and terms, then send it and ask the customer to accept.

Building jobs this template fits

Builders use this quote for an extension, a loft conversion, a kitchen refit, a bathroom refit and a knock-through. It also works as a construction estimate when you can't fix every price yet, as long as you say what could change it.

Bill the work with the builders invoice template. The builders industry page shows how Quoza handles building quotes.

Download the builders quote template as a Word file or PDF, on A4 with prices in pounds, free and without entering an email address.

Keep the stage names the same on the quote and every invoice that follows. The customer can then tick off each stage as it's paid, and there's nothing to argue about at the end.

Questions

What should a builder's quote include?

Your business details and VAT number if registered, the customer and site address, a quote number and date, the scope of works and exclusions, the work priced by stage with labour and materials separate, options, VAT, the total, deposit and stage payments, how long it's valid, when the price can change and an acceptance box.

What is the difference between a quote and an estimate?

Citizens Advice describes a quote as a fixed price and an estimate as a rough guess that could end up higher. On building work, give a quote for what you can see and price, and explain clearly what could change it once walls or floors are opened up.

Should a builder's quote include VAT?

If you're VAT-registered, show VAT and say clearly whether prices include or exclude it. Citizens Advice tells customers to check this. If you're not registered, leave the VAT lines blank and say so.

How long should a building quote be valid for?

As long as you say. Put a clear "valid until" date on every quote, so an old price can't come back after timber, steel or other material prices have moved.

Should I ask for stage payments?

That's your call. On an extension or loft conversion, many builders agree a deposit and payments at set stages. If you do, list each stage and the amount on the quote, so it's agreed before work starts.
