Quick answer
A contractor quote gives a fixed price for a defined job. It shows your business details and VAT number if you're registered, the customer and job address, a quote number and date, the scope of works and what's not included, labour and materials priced separately, any options, whether prices include VAT, how long the price is valid, any deposit, when the price could change, and a space for the customer to accept.
What to include
- Business name, address and contact details; VAT number if VAT-registered
- Customer's name, job address, date and quote number
- Scope of works: what's included and what isn't
- Labour and materials priced separately, with quantities
- Options where the customer has a choice, one recommended
- VAT: prices shown inc. or exc. VAT
- Deposit and how to pay it
- Quote valid until
- When the price can change
- Acceptance: customer's signature and date

Contractor quotes, part by part
Most customers get two or three quotes before they choose someone. The one that's easiest to read, and clearest about what's included, often wins. Citizens Advice tells customers a written quote should give a fixed total, break down the work and materials, say how long the price is valid and whether VAT is included, and explain when the price could go up. This template has a place for each of those.
Start with your business name, address and contact details, and your VAT number if you're registered. Then the customer's name, the job address, the date and a quote number.
Write the scope of works in plain English: "Strip out existing kitchen, first-fix electrics and plumbing, fit customer-supplied units and worktops, tile splashback, make good." Then say what's not included, such as decorating or skip hire if the customer is arranging it.
Price labour and materials separately, with quantities. Where the customer has a real choice, set out options, for example a standard and an upgraded worktop, each priced in full, with your recommendation marked.
Then VAT (inc. or exc.), the total, any deposit and how to pay it, a valid-until date, and a short line on when the price can change, such as hidden problems found once work starts. Finish with an acceptance box.
If you're quoting a main contractor rather than a homeowner, add their job reference at the top so your quote ties back to their project.
Keep line names the same on the quote and the invoice. When the customer can tick one off against the other, there is far less to explain when the bill arrives.
Set it up once, then reuse it
- Download the Word or PDF file and save a master with your business details and VAT number if you have one.
- On the visit, fill in the customer, job address, date, quote number and valid-until date.
- Write the scope and exclusions, then labour and materials.
- Add options where the customer has a choice.
- Add VAT, deposit and terms, then send it and ask the customer to accept.
Contractor jobs this template fits
Contractors use this quote for extensions, loft conversions, kitchen and bathroom refits, knock-throughs and smaller repair work. It also works as a bid sheet when you're pricing for a main contractor.

Questions
What should a contractor quote include?
Your business details and VAT number if registered, the customer and job address, a quote number and date, the scope of works and exclusions, labour and materials priced separately, options if relevant, VAT, the total, any deposit, how long it's valid, when the price can change and an acceptance box.
What is the difference between a quote and an estimate?
Citizens Advice describes a quote as a fixed price and an estimate as a rough guess that could end up higher. If you can price the job firmly, call it a quote. If you can't until work starts, give an estimate and explain what could change it.
Should a contractor quote include VAT?
If you're VAT-registered, show VAT and say clearly whether your prices include or exclude it. Citizens Advice tells customers to check this. If you're not registered, leave the VAT lines blank and say so.
How long should a quote be valid for?
As long as you say. Put a clear "valid until" date on every quote, so an old price can't come back after material prices have moved.
Can I use this as a bid sheet?
Yes. Because labour and materials are priced line by line, the customer or main contractor can compare your price with others like for like.
