Quick answer

A landscaping quote gives a fixed price for a defined garden job. It shows your business details and VAT number if registered, the customer and property address, a quote number and date, the scope by area, measured quantities such as square metres of turf or paving, plants and materials, labour and green waste removal. Add options, whether VAT is included, how long the price is valid, any deposit, and a space to accept.

What to include

  • Business name, address and contact details; VAT number if VAT-registered
  • Customer's name, property address, date and quote number
  • Scope by area: front garden, back garden, borders, patio
  • Measured quantities: square metres, metres, tonnes or bulk bags
  • Plants and materials with quantities and prices
  • Labour, groundwork and green waste removal
  • Options, such as turf or artificial grass, one recommended
  • VAT: prices shown inc. or exc. VAT
  • Deposit, quote valid until, and when the price can change

Landscaping quotes, part by part

A garden job is easy to describe in a sentence and hard to price in one. "New patio and lawn" could mean almost anything. A landscaping quote turns it into measured areas and priced lines, which is what Citizens Advice tells customers to look for: a fixed total, a breakdown of work and materials, how long the price is valid, whether VAT is included and when the price could change.

Start with your business name, address and contact details, plus your VAT number if you're registered. Then the customer's name, the property address, the date and a quote number.

Write the scope by area: front garden, back garden, borders, patio, side path. For each one, give measured quantities: square metres of turf or paving, metres of edging or fencing, tonnes or bulk bags of sub-base, topsoil or gravel. Then plants and materials with quantities and prices, and labour.

Don't forget groundwork (digging out, levelling, sub-base) and green waste removal, including skip hire if you need one. These are easy to leave out and hard to add once the customer has said yes.

If there's a real choice, such as turf or artificial grass, Indian sandstone or porcelain, set out options, each priced in full, and mark the one you'd recommend. Then VAT (inc. or exc.), the total, any deposit, a valid-until date and a line on when the price can change, for example if you hit buried rubble or roots. Finish with an acceptance box.

Set it up once, then reuse it

  • Download the Word or PDF file and save a master with your business details.
  • Measure each area of the garden and note access for machinery and skips.
  • Fill in the customer, property address, date, quote number and valid-until date.
  • Enter groundwork, materials, plants, labour and waste removal for each area, and add options where they help.
  • Add VAT, deposit and terms, then send it and ask the customer to sign.

Common jobs this template fits

Landscapers and gardeners use this quote for garden tidies, turfing, patio laying, hedge cutting and fence panel replacements. It works for a one-day tidy and for a full back-garden makeover priced area by area.

Questions

What should a landscaping quote include?

Your business details and VAT number if registered, the customer and property address, a quote number and date, the scope by area, measured quantities, plants and materials, labour, groundwork, waste removal, options if relevant, VAT, the total, any deposit, how long it's valid, when the price can change and an acceptance box.

What is the difference between a quote and an estimate in the UK?

Citizens Advice describes a quote as a fixed price and an estimate as a rough guess that could end up higher. Once you've measured the garden and agreed the materials, you can usually give a quote. If ground conditions are unknown, say what could change the price.

Should a landscaping quote include VAT?

If you're VAT-registered, show VAT and say clearly whether prices include or exclude it. Citizens Advice tells customers to check this. If you're not registered, leave the VAT lines blank and add a short note saying so.

How long is a landscaping quote valid for?

As long as you say. Put a clear "valid until" date on every quote so an old price can't come back after the season's material prices have moved. The Quoza quote maker puts a valid-until date on every quote for you.

Can my customer accept the quote online?

With the downloaded file, they sign a printed copy or send back a signed scan. If you make the quote in the Quoza landscaping quote maker, the customer gets a link, reads it on their phone and accepts it online.

Can I download the template in Word?

Yes. The landscaping quote template comes as an editable Word file and a PDF, on A4 with prices in pounds. Both are free and you don't need to enter an email address.
