Landscaping invoices, part by part

A landscaping job can transform a garden, but the invoice still has to be read line by line. When it follows the quote the customer accepted, area by area and in the same units, paying it is a quick check rather than a phone call. GOV.UK sets out what every invoice must show; this template has a box for each item, laid out for garden work.

Open with a unique invoice number, the invoice date and the dates of the work, which matters on jobs that ran over several days. Then your details. If you're a sole trader using a business name, GOV.UK says the invoice must also show your own name and an address where legal documents can be delivered to you. Add your VAT number if you're registered, the customer's name and property address, and the quote number.

List the work by area: front garden, back garden, borders, patio. Under each area, give measured materials in the units you quoted: square metres of turf or paving, metres of edging, tonnes or bulk bags of sub-base, topsoil or gravel. Plants go in with a count and pot size, such as "Lavender, 2 litre x10". Then labour and groundwork.

Green waste removal and skip hire go on their own lines. If the final quantities differed from the quote, say so: "Topsoil: quoted 2 bulk bags, used 3" with a short note is clear; a quietly bigger total is not.

At the bottom: VAT if you charge it, the total, less deposit paid, the balance due, the payment due date and your bank details, with the invoice number as the payment reference.

Set it up once, then reuse it

  • Download the Word or PDF file and save a master with your business details.
  • Add the invoice number, dates, customer, property address and quote number.
  • List each area with its materials, plants and labour, in the same units as the quote.
  • Add waste removal, VAT if registered, the deposit and the balance, with a note for any changed quantities.
  • Add the payment date and bank details, save as PDF and send it when the job's done.

Questions

What should a landscaping invoice include?

A unique invoice number, the invoice date and work dates, your details, the customer's name and property address, the quote it bills, the work by area with materials and plants, labour, waste removal, VAT if you're registered, the total, any deposit paid, the balance due, the payment date and your bank details.

How do I bill materials on a landscaping invoice?

Use the same units as your quote: square metres of turf or paving, metres of edging, tonnes or bulk bags of sub-base and topsoil, and a count and pot size for plants. If the final quantity differed from the quote, show the actual figure with a short note.

How do I number my landscaping invoices?

Use one running sequence and never reuse a number, for example 1001, 1002, 1003. If a big job is billed in stages, give each stage invoice its own number and put the same quote number on all of them.

How do I show a deposit already paid?

Show the full price first, then "Less deposit paid" with the date and amount, and the balance due underneath. That suits patios and turfing jobs where you buy paving, turf or plants before you start.

Can I send a landscaping invoice from my phone?

Yes. Download the Word or PDF file, fill it in on your phone when the job's done, save it as a PDF and email or text it to the customer before you load the van.

Is this landscaping invoice template free?

Yes. The PDF and Word files are free to download and you don't need to enter an email address. Add your details once, save your own copy and reuse it for every job.
