Quick answer

A fencing quote gives a fixed price for a defined job. It shows your business details and VAT number if you're registered, the customer and property address, a quote number and date, the run length in metres with height and style, posts, panels or close-board, gravel boards, gates and removal of the old fence priced separately, any options, whether prices include VAT, how long the price is valid, and a space to accept.

What to include

  • Business name, address and contact details; VAT number if VAT-registered
  • Customer's name, property address, date and quote number
  • Run length in metres, height and style
  • Posts, timber or concrete, with quantity
  • Panels or close-board, and gravel boards
  • Gates and ironmongery, priced separately
  • Removal and disposal of the old fence
  • Options, such as panel or close-board, one recommended
  • VAT: prices shown inc. or exc. VAT; quote valid until
  • Acceptance: customer's signature and date

Fencing quotes, part by part

After a windy winter, everyone wants a fencing quote at once. The fencer whose quote is clearest about the run, the posts and the gates tends to get the job, and has fewer arguments about it later. Citizens Advice tells customers a written quote should give a fixed total, break down the work and materials, say how long the price is valid and whether VAT is included, and explain when the price could go up.

Start with your business name, address and contact details, and your VAT number if you're registered. Then the customer's name, the property address, the date and a quote number.

Describe the run in metres, with the height and style: "22 m, 1.8 m close-board fence, rear boundary, concrete posts and gravel boards." A note on which boundaries you're doing helps, too.

Then price each part on its own line, with quantities: posts, timber or concrete; panels or close-board with arris rails; gravel boards; each gate with its ironmongery; and removal and disposal of the old fence.

Fencing suits options: lap panels against close-board, or timber against concrete posts, each priced in full, with your recommendation marked.

Then VAT (inc. or exc.), the total, any deposit, a valid-until date, and a line on when the price can change, such as old concrete or tree roots in the post holes. Say who confirms the boundary before work starts. Finish with an acceptance box.

If the customer is sharing the cost with a neighbour, you can add both names and say how the total is split. Each of them can then see exactly what they are paying for.

Set it up once, then reuse it

  • Download the Word or PDF file and save a master with your business details and VAT number if you have one.
  • After measuring, fill in the customer, property address, date, quote number and valid-until date.
  • Enter the run in metres with height and style, then posts, panels, gravel boards, gates and removal.
  • Build panel and close-board options where the customer has a choice.
  • Add VAT, deposit and terms, then send it and ask the customer to accept.

Fencing jobs this template fits

Fencers use this quote for a close-board fence, a panel replacement, concrete posts, a gate fitting and a picket fence. It works for one blown-down panel and a full garden boundary.

Questions

What should a fencing quote include?

Your business details and VAT number if registered, the customer and property address, a quote number and date, the run length with height and style, posts, panels or close-board, gravel boards, gates, removal of the old fence, options, VAT, the total, any deposit, how long it's valid and an acceptance box.

What is the difference between a quote and an estimate?

Citizens Advice describes a quote as a fixed price and an estimate as a rough guess that could end up higher. If you've measured the run, give a quote, and say what could change it, such as hitting old concrete when digging post holes.

Should a fencing quote include VAT?

If you're VAT-registered, show VAT and say clearly whether prices include or exclude it. Citizens Advice tells customers to check this. If you're not registered, leave the VAT lines blank and say so.

Who confirms the boundary?

Say on the quote. Many fencers write that the customer confirms the boundary line and has spoken to the neighbour before work starts. It avoids disputes once the posts are in.

Can I download the template in Word?

Yes. The fencing quote template comes as an editable Word file and a PDF, on A4 with prices in pounds. Both are free, with no email required.
