Quick answer
A painter and decorator's quote gives a fixed price for a defined job. It shows your business details and VAT number if you're registered, the customer and job address, a quote number and date, each room or surface with the prep, coats and paint, labour and materials priced separately, any options, whether prices include VAT, how long the price is valid, any deposit, when the price could change, and a space to accept.
What to include
- Business name, address and contact details; VAT number if VAT-registered
- Customer's name, job address, date and quote number
- Rooms or surfaces, and what's not included
- Prep, such as filling, sanding, caulking and mist coat
- Coats and paint, by brand or grade and finish

Decorating quotes, part by part
Customers often get three decorating quotes and struggle to compare them. One includes filling, sanding and a mist coat on new plaster; another is a quick roll over what's there. A clear quote shows exactly what the customer is paying for, so you can win on the finish, not just the price. Citizens Advice tells customers a written quote should give a fixed total, break down the work and materials, say how long the price is valid and whether VAT is included, and explain when the price could go up.
Start with your business name, address and contact details, and your VAT number if you're registered. Then the customer's name, the job address, the date and a quote number.
List the rooms or surfaces: "Lounge walls and ceiling, hallway, stairs and landing walls, all woodwork in gloss." Then say what's not included, such as moving furniture, or repairs to blown plaster beyond small patches.
Describe the prep: filling and sanding, caulking, stain block, a mist coat on new plaster, stripping wallpaper. Prep is where the hours go, so make it visible. Then the coats and the paint, by brand or grade, with the finish for each surface: matt, eggshell, satin or gloss.
Price labour and materials separately. Paint grade is a natural place to offer options: trade paint against a premium range, each priced in full, with your recommendation marked.
Then VAT (inc. or exc.), the total, any deposit, a valid-until date, and a line on when the price can change, for example if stripping reveals damaged plaster. Finish with an acceptance box.

Questions
What should a painter and decorator's quote include?
Your business details and VAT number if registered, the customer and job address, a quote number and date, each room or surface, the prep, coats and paint, labour and materials, options if relevant, VAT, the total, any deposit, how long it's valid, when the price can change and an acceptance box.
What is the difference between a quote and an estimate?
Citizens Advice describes a quote as a fixed price and an estimate as a rough guess that could end up higher. If you've seen the rooms and can price them firmly, give a quote. If you can't, for example until old wallpaper is stripped, say what could change the price.
Should a decorating quote include VAT?
If you're VAT-registered, show VAT and say clearly whether prices include or exclude it. Citizens Advice tells customers to check this. If you're not registered, leave the VAT lines blank and say so.
Should I price by the room or by the day?
Either works, as long as the customer can see what's included. Pricing by room or surface makes quotes easier to compare; a day rate suits jobs where the prep is hard to judge.
Can I download the template in Word?
Yes. The painter and decorator quote template comes as an editable Word file and a PDF, on A4 with prices in pounds. Both are free, with no email required.
