Painting and decorating invoices, part by part

The best moment to send a decorating invoice is just after the customer's walked round the finished rooms. If it matches the quote they accepted, room by room, it's usually paid the same week. GOV.UK sets out what every invoice must show; this template has a box for each item, laid out for painting and decorating.

Start with a unique invoice number, the invoice date and the date of the work. Then your details: your name, any business name, address and contact details. If you're a sole trader using a business name, GOV.UK says the invoice must also show your own name and an address where legal documents can be delivered to you. Add your VAT number if you're registered, the customer's name and address and the quote number.

List the rooms or surfaces you decorated, with the same names as the quote: "Lounge walls and ceiling", "Hall, stairs and landing", "All woodwork in gloss". Then the prep, paint and labour, by room or as separate lines, the way you priced it.

If the customer added work once you were there, such as the downstairs loo or a front door, give each agreed extra its own line with a short note.

It's worth writing the paint brand, colour and finish for each room, on the line or in a note at the bottom. The customer will want it for touch-ups, and it shows they got the paint they chose.

At the bottom: VAT if you charge it, the total, less deposit paid, the balance due, the payment date and your bank details, with the invoice number as the payment reference.

On a longer job, such as a full exterior, you can invoice in stages. Name the stage on each invoice and show payments already made, so the customer always knows what is left.

Set it up once, then reuse it

  • Download the Word or PDF file and save a master with your name, business name, address and VAT number if you have one.
  • Add the invoice number, dates, customer, address and quote number.
  • List the rooms or surfaces, then prep, paint and labour.
  • Add any agreed extras, VAT if registered, the deposit and the balance.
  • Note the paint colours, add the payment date and bank details, and send it as a PDF.

Decorating jobs this template fits

Painters and decorators use this invoice for a room redecoration, exterior masonry paint, wallpapering, woodwork and gloss and a kitchen cabinet respray. It works for a one-day job and a whole-house redecoration paid in stages.

Price the job first with the painter and decorator quote template, and confirm payments with the receipt template.

Questions

What should a painting and decorating invoice include?

A unique invoice number, the invoice date and work date, your details, the customer's name and address, the quote it bills, the rooms or surfaces, prep, paint and labour, any agreed extras, VAT if you're registered, the total, any deposit paid, the balance due, the payment date and your bank details.

What if I trade under a business name?

GOV.UK says that if you're a sole trader using a business name, the invoice must also show your own name and an address where legal documents can be delivered to you. The template has a box for both.

Should I put the paint colours on the invoice?

It helps. Writing the brand, colour and finish for each room gives the customer a record for touch-ups and shows they got the paint they chose on the quote.

How do I show a deposit already paid?

Show the full price first, then "Less deposit paid" with the date and amount, and the balance due underneath.

Is this painting and decorating invoice template free?

Yes. The PDF and Word files are free to download and you don't need to enter an email address.
