A handyman invoice shows a unique invoice number, the invoice date and the date of the visit, your name (and business name, if you use one), address and contact details, the customer's name and address, and any quote it bills. List each job on its own line, such as hanging a door, with labour, materials and any call-out charge, then VAT if you're registered, the total, the balance due, the payment date and your bank details.

Handyman invoices, part by part

A handyman visit can cover a whole list: hang a door, fix a dripping gutter, put up shelves and assemble a wardrobe, all before lunch. The invoice needs to show each of those, or the customer just sees one figure and starts wondering which part cost what. GOV.UK sets out what every invoice must show; this template has a box for each, laid out for a list of jobs.

Begin with a unique invoice number, the invoice date and the date of the visit. Then your details. If you're a sole trader using a business name, GOV.UK says the invoice must also show your own name and an address where legal documents can be delivered to you. Add your VAT number if you're VAT-registered, then the customer's name and address, and the quote number if you sent one.

List each job on its own line in plain words: "Hang new internal door, including hinges and handle", "Patch and skim plasterboard, landing", "Assemble flat-pack wardrobe, main bedroom". Give each its labour, as a job price or hours at your rate, the way you quoted.

Materials you supplied go on their own lines with quantities and prices. If the customer bought something themselves, such as the shelves or a light fitting, list it as customer-supplied with no price. If you charge a call-out or minimum visit, list it rather than spreading it across the jobs.

At the bottom: VAT if you charge it, the total, any deposit paid, the balance due, the payment due date and your bank details, with the invoice number as the payment reference.

Set it up once, then reuse it

  • Download the Word or PDF file and save a master with your business details.
  • At the visit, add the invoice number, dates, customer and address.
  • Write each job as you finish it, with its labour price or hours.
  • Add materials, customer-supplied items, any call-out, VAT if registered, and the balance.
  • Add the payment date and bank details, save as PDF and send it before you leave.

Common jobs this template fits

Handymen use this invoice for door hanging, plasterboard repairs, flat-pack assembly, shelving and gutter clearing, and for the "while you're here" jobs that come up on the day. It suits a single-job call-out and a full day's list alike.

Before the visit, price the list with the handyman quote template. After it, confirm payment with the receipt template. The handyman industry page shows how Quoza handles handyman quotes.

Questions

What should a handyman invoice include?

A unique invoice number, the invoice date and visit date, your details, the customer's name and address, each job on its own line with labour, materials you supplied, any call-out charge, VAT if you're registered, the total, any deposit paid, the balance due, the payment date and your bank details.

Should I charge by the job or by the hour?

Invoice the way you quoted. If you gave a price per job, list each job with its price. If you agreed an hourly or day rate, show the hours against each job. If you use both on one invoice, say which jobs are priced which way.

How do I number my handyman invoices?

Use one running sequence and never reuse a number, for example 1001, 1002, 1003. If you go back to the same customer for another list of jobs, that visit gets a new invoice number.

How do I show a deposit already paid?

Show the total for all jobs first, then "Less deposit paid" with the date and amount, and the balance due underneath. A deposit can make sense when you buy a door, worktop or fittings before the visit.

Can I send a handyman invoice from my phone?

Yes. Download the Word or PDF file, tick off each job on your phone as you finish, save it as a PDF and email or text it before you pack up.

Is this handyman invoice template free?

Yes. The PDF and Word files are free to download and you don't need to enter an email address. Add your details once, save your own copy and reuse it for every visit.
