Electrical invoices, part by part
Much of an electrician's work ends up behind plaster and under a consumer unit cover. The invoice is where the customer sees what they've paid for, so it should name the parts, show the labour and match the quote they accepted. GOV.UK sets out what every invoice must show; this template has a box for each, with lines set up for electrical work.
Start with a unique invoice number, the invoice date and the date of the work. Then your details. If you're a sole trader using a business name, GOV.UK says the invoice must also show your own name and an address where legal documents can be delivered to you. Add your VAT number if you're VAT-registered, then the customer's name and address and the quote number.
Show labour the way you quoted it, as a fixed price or hours at your rate. List materials with quantities and prices, named so the customer recognises them: "10-way RCBO consumer unit", "6mm twin and earth, 15m", "LED downlight x8". If the customer supplied something, such as their own EV charger or light fittings, list it as customer-supplied with no price.
Add the reference of the certificate you issued, whether an Electrical Installation Certificate or a Minor Works certificate, so the invoice and the certificate can be matched later. Extra work agreed on site, such as remedials after testing, goes on its own line with a note.
At the bottom: VAT if you charge it, the total, less deposit paid, the balance due, the payment due date and your bank details, with the invoice number as the payment reference.
Set it up once, then reuse it
- Download the Word or PDF file and save a master with your business details and VAT number if you have one.
- For each job, add the invoice number, dates, customer, address and quote number.
- Enter labour, then each material, marking anything the customer supplied.
- Add the certificate reference, agreed extras, VAT if registered, the deposit and the balance.
- Add the payment date and bank details, save as PDF and send it when you finish.
Common jobs this template fits
Electricians use this invoice for consumer unit replacements, EV charger installs, rewires, lighting and EICR remedials. It works for a short call-out and for a rewire billed in stages.
Price the job first with the electrical quote template, and confirm payments with the receipt template. The electrical industry page shows how Quoza handles electrical quotes.

Questions
What should an electrical invoice include?
A unique invoice number, the invoice date and work date, your details, the customer's name and address, the quote it bills, labour, materials with quantities and prices, the certificate reference, VAT if you're registered, the total, any deposit paid, the balance due, the payment date and your bank details.
Should I put the certificate number on the invoice?
It's a good idea. Writing the reference of the Electrical Installation Certificate or Minor Works certificate you issued links the paperwork for the job, so the customer and you can find the right certificate later from the invoice alone.
How do I number my electrical invoices?
Use one running sequence and never reuse a number, for example 1001, 1002, 1003. Write the quote number on the invoice too, so a rewire or consumer unit job's paperwork stays linked.
How do I show a deposit already paid?
Show the full price first, then "Less deposit paid" with the date and amount, and the balance due underneath. That suits consumer unit swaps and EV charger installs where you buy the kit before the job.
Can I send an electrical invoice from my phone?
Yes. Download the Word or PDF file, fill it in on your phone when you finish testing, save it as a PDF and email or text it to the customer.
Is this electrical invoice template free?
Yes. The PDF and Word files are free to download and you don't need to enter an email address. Add your details once, save your own copy and reuse it for every job.
