Tree surgery invoices, part by part

By the time the invoice arrives, the tree's gone and the garden's swept. What the customer remembers is the quote they accepted. An invoice that follows it tree by tree, with any extras clearly marked, gets paid without a phone call. GOV.UK sets out what every invoice must show; this template has a box for each item, laid out for tree work.

Start with a unique invoice number, the invoice date and the date of the work. Then your details: your name, any business name, address and contact details. If you're a sole trader using a business name, GOV.UK says the invoice must also show your own name and an address where legal documents can be delivered to you. Add your VAT number if you're registered, the customer's name and address, the property address if different and the quote number.

List each tree and the work done, described as on the quote: "Sycamore, rear garden, crown reduction." Give stump grinding and waste removal their own lines, or note that logs were left stacked on site at the customer's request.

If the customer asked for more on the day, such as cutting back a hedge while the chipper was there, add it as an agreed extra with a short note.

At the bottom: VAT if you charge it, the total, less deposit paid, the balance due, the payment date and your bank details, with the invoice number as the payment reference.

If the council was contacted about a tree preservation order or a conservation area, it's worth noting its reference on the invoice. It keeps the job's paperwork in one place if the customer, or the next owner, ever asks.

Send it the day the job finishes, while the customer can still see the difference out of the window.

Set it up once, then reuse it

  • Download the Word or PDF file and save a master with your name, business name, address and VAT number if you have one.
  • Add the invoice number, dates, customer, property address and quote number.
  • List each tree and the work done, then stump grinding and waste removal.
  • Add any agreed extras, VAT if registered, the deposit and the balance.
  • Add the payment date and bank details, save as PDF and send it once the site's clear.

Questions

What should a tree surgeon's invoice include?

A unique invoice number, the invoice date and work date, your details, the customer's name and address, the quote it bills, each tree and the work done, stump grinding, waste removal, agreed extras, VAT if you're registered, the total, any deposit paid, the balance due, the payment date and your bank details.

What if I trade under a business name?

GOV.UK says that if you're a sole trader using a business name, the invoice must also show your own name and an address where legal documents can be delivered to you. The template has a box for both.

How do I bill extra work the customer asked for on the day?

Give it its own line with the tree and the work, and a short note that it was agreed on site. Extras written down are far easier to get paid for.

How do I show a deposit already paid?

Show the full price first, then "Less deposit paid" with the date and amount, and the balance due underneath.

Is this tree surgeon invoice template free?

Yes. The PDF and Word files are free to download and you don't need to enter an email address.
